What the day will look like
This role is to act as co-ordinator between the HR teams and the fully managed payroll service provider for the UK payroll, within the HR life cycle, ensuring that employees are paid on time and accurately and that payroll control accounts are reconciled and overpayments recovered, ensuring an effective HR administration service to Aon UK.Also to ensure that statutory and audit requirements are met.
- To understand and comply with the requirements of the FCA, SM&CR, Sarbanes Oxley (SOx) and GDPR.
- Follow Aon’s controls and approvals process, conduct detailed checks of monthly payroll to ensure accuracy of processing of data. Carry out payroll audits as and when required.
- Manage tickets raised in relation to payroll queries and ensure they are dealt with within the service level agreement (SLA). Investigate and resolve payroll queries from a variety of sources.
- Oversee the monthly and triennial pension auto-enrolment process, ensuring adherence to pension regulations. Upload the monthly pension contributions file to the Pension Administrator’s system and the monthly Sharesave file to the provider’s system.
- Set up deductions for annual Sharesave Scheme and upload monthly deductions file to provider’s system, also process Sharesave refunds as necessary.
- Liaise with HR teams to ensure accurate processing of HR and payroll transactions, including the company’s flexible benefits scheme.
- Ensure the relevant company benefits are taxed at source via the payroll, including the car benefit scheme and company cars.
- Process BACS recalls and raise manual payments when required and ensure follow up actions are carried out.
- Collate stock and cash dividend payment information and process through outsourced payroll for correct deduction of tax and NI. Compile annual form 42 for submission to HMRC. Work with Reward team and US team to provide correct employee marginal tax rates for withholding purposes.
- Liaise with the overpayments' administrator to achieve a high rate of recovery success.
- Understanding of monthly reconciliation of the payroll control accounts, working with the outsourced payroll provider and the UK Controllership Payroll Team, to ensure accurate payments/refunds are made and reporting requirements are met.
- Liaise with outsourced payroll provider to ensure accurate processing of payroll, year-end returns and Full Payment Submission Adjustments (FPSAs).
- Assist on annual projects, such as production of P11D’s and P60’s and ensure that payroll provider and other relevant parties are fully engaged.
- Regular review and updating of department Standard Operating Procedures (SOPs).
- Any other projects / duties as required by the UK Payroll Managers.
- Strong recent and relevant payroll experience. (Essential)
- Experience in using ADP’s GlobalView payroll system (Preferable)
- Competent in Word and Excel, Microsoft Outlook and Microsoft Teams
- Good customer service skills
- Excellent communication and organisational skills
- Knowledge of managing stock vesting and cash dividends through payroll and annual reporting (Preferable)
- Knowledge of salary sacrifice pension schemes and financial accounting of transactions (Preferable)
- Knowledge of Workday (Preferable)
- Ability to react quickly, prioritise and work to deadlines
- Consistent approach, adhering to processes, ensuring accuracy and quality assurance
- Problem Solving - Ability to work on / research problems with minimal supervision
