About the Role
We are seeking a highly proactive, detail-oriented, and discreet Executive Assistant to support a C-level executive at a growing international organization. This is a strategically important role focused on ensuring operational flow, stakeholder alignment, and optimal use of executive time.
You will act as a trusted partner, managing complex schedules, streamlining communication, and contributing to high-priority projects. The ideal candidate thrives in dynamic environments, handles sensitive information with discretion, and brings sound judgment, adaptability, and poise.
Key Responsibilities- Coordinate and manage a dynamic, multi-time-zone calendar, ensuring seamless scheduling of meetings, events, and appointments.
- Prepare high-quality documents such as meeting agendas, briefings, minutes, and presentation materials.
- Act as a reliable point of contact, maintaining clear and timely communication on behalf of the executive with internal teams and external stakeholders.
- Handle confidential and sensitive information with the highest level of discretion and professionalism.
- Organize complex travel arrangements, including flights, accommodations, and visa applications, and provide real-time support throughout business trips.
- Assist with the preparation and follow-up of strategic projects by conducting research and compiling supporting materials.
- Help plan and coordinate senior-level meetings, leadership offsites, and other high-impact events.
- Track expenses, manage reimbursements, and support the budgeting process related to the executive’s office.
- Continuously seek opportunities to streamline workflows, improve efficiency, and enhance day-to-day operations.
- Support selected personal tasks for the executive, including personal scheduling and logistics, as needed, while maintaining a professional boundary.
Requirements
Candidate Profile- 5+ years of experience supporting senior or C-level executives, ideally in fast-paced, international settings
- Exceptional organizational and prioritization skills with a problem-solving mindset
- High emotional intelligence, sound judgment, and the ability to handle confidential information sensitively
- Excellent written and verbal communication skills in English
- Advanced proficiency in MS Office, Outlook, Teams, Zoom, and similar productivity tools
- Comfortable working across cultures and time zones
- Full-time office presence required when the executive is in the office; hybrid flexibility when the executive is traveling
- Occasional travel may be required for business support
