ADMINISTRATIVE & COMMUNITY ENGAGEMENT ASSISTANT JOB DESCRIPTION
Salary scale: SCP 06-09; £25,183 - £26,409 per annum pro rataHours: 20 hours per week, Monday to Friday mornings
Annual leave:
24 days rising to 28 days after five years’ continuous local government service. Employees are also entitled to two extra statutory holidays per year and paid bank/public holiday leave.

Job PurposeTo provide administrative support for Chickerell Town Council and its officers, act as a first point of contact for residents and stakeholders, and contribute to the implementation of a community engagement strategy.
Key Responsibilities and TasksThe following is an outline of the duties and responsibilities for the role. It is not exhaustive, and other duties may be assigned as needed: Administrative Support
- Comprehensive use of Microsoft 365 suite and applications to produce, use and share documents and files.
- Handle reception and switchboard duties in person, via telephone, or email. Dealing with general enquiries from the public, directing them to alternative service providers where necessary.
- Operate and manage systems for the hiring and use of council facilities, such as community hall, pavilion and meeting space.
- Assist in collating agendas and supporting documentation for council meetings and working groups.
- Assist with data entry, record maintenance, and ensure the confidentiality of sensitive information.
- Manage the burial records and activities at the town’s lawn cemetery, liaising with relevant parties as necessary.
- Support officer team with projects, new initiatives and future changes in delivering improvements to Chickerell.
- Using a range of techniques, engage with key stakeholders, residents, and local businesses on matters of local and strategic importance.
- Assist in the implementation/delivery of the council’s community engagement strategy, promoting involvement in council initiatives and decisions.
- Play a key role in supporting a variety of community engagement activities.
- Manage content and engage with the community via the council’s website and social media platforms in collaboration with the officer team.
- Co-ordination and organisation of civic functions and community events, attending where necessary.
- Undertake administrative duties in support of the activities of the Mayor, including arranging the mayoral diary, receive and respond to invitations, create and distribute invitations from the Mayor.
- Provide general office services, such as photocopying, filing, mail handling, raising purchase orders and matching invoices for payment.
- Offer administrative support to town council officers, the mayor, and councillors.
- Maintain accurate and up-to-date files and record systems.
- Be responsible for keeping all stationery at the required levels.
- Adhere and work within the council’s policies, ensuring the safety of yourself and others at all times.
- Maintain confidentiality and handle sensitive information in accordance with council policies.
- Attend relevant training and development opportunities as required.
- Carry out other duties as may reasonably be requested, consistent with the grade and responsibilities of the post.
