The UCLH Electronic Health Record (EHR) Pharmacy, Cancer Chemotherapy, and Clinical Trial team is looking to recruit an enthusiastic analyst with a keen interest in digital healthcare. The successful candidate will support the EHR team and wider organisation to manage medication, clinical trials and cancer chemotherapy protocols within our EHR system, Epic.

Main duties of the job

The team consists of several applications that cover pharmacy, chemotherapy workflows, and clinical trial management. The post holder will oversee and be responsible for the design, configuration, build, and testing of these application modules, mainly focussing on Willow Inpatient and Research.
Working in conjunction with the EHR delivery managers, they will be responsible for close working with the other application teams in the EHR programme (e.g. outpatients). This includes supporting the managers to ensure the team execute relevant plans and deliver work on time in adherence to the established governance structure and quality standards.

They will engage regularly with clinicians and operational managers, analysing service needs, and helping them to agree and deliver clinical best practice standards, future workflows and system optimisation.

The work will include developing, managing and supporting other analysts, and working closely with training, technical, information, programme management, benefits and communications staff. We have excellent relationships with departmental leads, super-users and subject matter experts who help prioritise our workstreams.

We also have a rolling upgrade programme which delivers new features and functionality to ensure the system is up-to-date.

For those candidates who are not already Epic certified in the Willow Inpatient application, we will offer training and you will be supported to attain certification as a requirement during your 6 month probation period. Candidates without Epic certification will start at band 6 and progress to band 7 after certification and after passing their probationary period.

Applicants without an Epic certification will also be required to undertake the Epic aptitude assessment (the Sphinx test) prior to interview.

We are open to applications from outside of the London area. However the successful candidate must attend the office during the team’s on-site day, which is once every other Tuesday. The team works remotely for the remaining time.

Knowledge and Qualifications

Essential criteria
  • Educated to Masters level, equivalent professional qualification including professional registration or equivalent experience
  • Excellent operational knowledge of the advertised area including relevant operational policies and procedures
  • Epic certification in the Willow Inpatient module. Candidates without this certification will be considered and if successful will receive training and start at band 6, progressing to band 7. See JD for more information*
Desirable criteria
  • Epic certification in the Beacon module
  • Epic certification in the Willow Ambulatory or Willow Inventory modules
  • Epic certification in the Research module

Experience

Essential criteria
  • Ability to understand the requirements of and work effectively within a demanding project environment
  • Previous NHS or healthcare experience
  • Experience of supporting change management.
Desirable criteria
  • Understanding of clinical, administrative and /or operational workflows and processes within the hospital environment
  • Experience configuring an electronic clinical trial management system
  • Experience configuring an electronic prescribing and medicines administration (EPMA) system or configuration of medication within an EHR system, such as Epic or Cerner
  • Experience building and maintaining chemotherapy protocols, including research protocols
  • Experience building and maintaining non-cancer clinical trials

Skills and Abilities

Essential criteria
  • Ability to understand highly complex problems, analyse and document workflows and current practice, identifying opportunities for change
  • The ability to maintain issues logs and work to a project plan
  • Sound organisation and planning skills ability to prioritise a demanding workload in a high pressure and very challenging environment, maintaining delivery of quality outputs to tight deadlines and frequent interruptions
  • Have the ability to work alone as well as working with other work streams when and where necessary.
  • Excellent written and verbal communication with the ability to communicate with staff at all levels in the organisation, including clinical staff and managerial staff as well as with external suppliers
  • Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint Ability to impart knowledge and/or present to others in a clear and concise manner
  • Able to work collaboratively with own team members as well as those in other application teams
  • Good analytical and project management skill
  • Confident in working with, negotiating with and motivating clinical staff, medical consultants and/or other senior managers
  • Ability to present and argue a case confidently and persuasive
