Job overview

This post is Fixed term for 11 months until 18/02/2026 to meet the needs of the service.

An exciting opportunity has arisen for an enthusiastic person with excellent administrative skills to work along side the Divisional Support Manager and assist in providing efficient, effective and confidential support to the Senior Management Team within the Family and Therapies Division.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Main duties of the job
  • To have an understanding of the Division.
  • To support the day-to-day needs of the Divisional office.
  • Provide an efficient and friendly telephony service, taking/forwarding messages.
  • To collect post and distribute accordingly.
  • Work effectively as part of the wider team.
  • Keeping personal files up to date.
  • Provide administrative support to the maintenance of Divisional databases as required.
  • Provide administrative support to the management of invoices, ensuring invoices are processed and completed to comply with financial requirements.
  • Ordering of stationery and photocopier consumables.
  • Printing and Photocopying documents as needed.

Qualifications and Knowledge

Essential criteria
  • Good general education to GCSE or equivalent
  • Knowledge of administrative systems, office procedures, data input and departmental procedures acquired through on-the-job training
  • Skilled use of computerised Database
  • Keyboard skills
Desirable criteria
  • European Computer Driving Licence or experience of Microsoft 365 and Microsoft Outlook

Experience

Essential criteria
  • Experience of dealing sympathetically with the public on the telephone
  • Processing invoices
  • Producing typed correspondence
Desirable criteria
  • Experience with WPAS and CWS or networked IT system
  • Experience of using Oracle

Skills and Attributes

Essential criteria
  • Ability to work under pressure and deal with difficult situations
  • Excellent verbal and written communication skills
  • Good organisational skills
  • Good attention to detail
  • Ability to work when required without direct supervision
Desirable criteria
  • Speak Welsh
