We are looking for a highly organised, proactive and solution focussed professional to oversee the premises and resourcing of Hatch End High School. The facilities officer would ensure the efficient operation and maintenance of school facilities, leading the premises team.Working closely with the Finance and Operations Manager, the Facilities Officer will manage the school’s physical environment, ensuring all spaces are safe, functional, and well-maintained. The role is key in providing a safe, welcoming, and efficient environment conducive to learning.
This is an exciting opportunity to strategically develop the Hatch End site. Prior experience of running an educational premises team would be an advantage but is not required.
You will be responsible for managing the Smartlog system and reporting to Senior Leaders and governors, therefore good ICT and administrative skills are required.
JOB PURPOSE
The Facilities Officer supervises and co-ordinates the premises team, working alongside them to ensure the efficient operation and maintenance of school facilities. Working closely with the Finance and Operations Manager, the Facilities Officer supports the overall management of the school’s physical environment, ensuring all spaces are safe, functional, and well-maintained.Responsibilities include assisting in routine maintenance planning, organising quotes and contractors, project management, addressing facility-related issues, and implementing cost-effective solutions to optimize the school's facilities. The role is key in providing a safe, welcoming, and efficient environment conducive to learning.
RESPONSIBLE FOR- Premises Team.
- The hours will be 8am - 4:15pm but flexibility in working hours will be required.
- Supervision & Co-ordination:
- Supervise and manage the premises team to ensure the smooth day-to-day operation of all school facilities.
- Ensure that the premises team are performing their duties to a high standard and that tasks are completed in a timely and efficient manner.
- Allocate tasks to the premises team according to priority and facility needs. Ensure effective use of Smartlog. Monitor completion rates.
- Monitor staff performance, conduct line management meetings, and provide training and guidance as needed.
- Assist in managing and quality assuring the service provided by external contractors e.g., cleaners, washroom services, grounds maintenance, waste management, pest control, drains, utilities etc.
- Work with the Finance and Operations Manager to execute the CapEx 5-year plan including project management.
- Maintenance Management:
- Oversee routine maintenance schedules and ensure that all facilities are inspected regularly.
- Implement and manage a planned preventative maintenance (PPM) program to proactively address potential issues before they become significant problems, ensuring the longevity and optimal performance of school facilities and equipment.
- Ensure the consistent and effective use of Smartlog for maintenance and PPM program.
- Carry out routine building inspection, both internal and external, and prepare a schedule of minor works, redecoration, refurbishments and planned, preventative maintenance for discussion and agreement with the Finance & Operations Manager – action urgent works as necessary.
- Monitor and manage minor repairs, ensuring they are completed in a timely and cost-effective manner.
- Co-ordinate with external contractors for maintenance or repairs that cannot be handled in-house.
- Ensure that all facilities meet health and safety regulations, addressing any issues promptly.
- Maintain electronic records of maintenance tasks, inspections, PPM schedules, and completed repairs to track trends and anticipate future needs.
- Assist in planning and implementing improvements to school facilities, ensuring they are aligned with educational needs and budgetary constraints.
- Work with the Finance and Operations Manager to develop and manage the facilities’ budget, identifying and implementing cost-effective solutions for facility maintenance and upgrades.
- Evaluate and recommend energy-saving initiatives and sustainable practices to reduce operational costs.
- Participate in the development of long-term facilities plans, including renovations, refurbishments, and the enhancement of the school’s facilities.
- Health & Safety Compliance:
- Ensure all facilities comply with health and safety regulations and are maintained to the highest safety standards.
- To regularly inspect the site to ensure safe practices are being adhered to and to carry out risk assessments of work activities and the environment, maintain appropriate records, and take appropriate action to minimise risks.
- Identify potential hazards and take appropriate actions to mitigate risks, ensuring the safety of students, staff, and visitors.
- Conduct regular risk assessments and ensure corrective actions are implemented as necessary.
- Assist in emergency drills, and ensure all emergency equipment (e.g., fire extinguishers, alarms) is maintained and functional.
- To drive high standards of risk management and mitigation amongst the premises team, contractors and sub-contractors.
- Ensure that all contractors are aware of and observe site health and safety regulation – ensure that all relevant documentation and procedures are in place e.g. permit to work, method statements, risk assessments, etc.
- To report any issues and concerns relating to health and safety, risk or compliance to the Finance & Operations Manager and to use initiative to address any such issues.
- Operational Support:
- Perform general repairs and maintenance as needed, including but not limited to plumbing, painting, carpentry, lighting, and to undertake the direct repair of fabric, services and fittings as appropriate to the role.
- Respond to emergency situations, facility-related concerns, and incidents in a prompt and professional manner.
- Address immediate maintenance and repair requests from staff and the school community, ensuring minimal disruption to the educational environment.
- Provide support in setting up facilities for special events, ensuring equipment and spaces are ready for use and there is adequate site supervision throughout all events.
- Assist with managing the use of school facilities by external parties, ensuring compliance with school policies.
- Lettings
- To manage site cover and supervision to facilitate community lettings.
- To liaise with hirers and arrange heating, cleaning and car parking for events.
- Cover and Out of Hours Work
- To manage the premises shift system ensuring cover throughout the school shift period from Monday to Thursday.
- To offer flexibility to work out of hours to assist with the shift system where necessary (for example to cover leave or other absence).
- Occasional weekend and evening work may be necessary; if so, overtime or time off in lieu will be available.
- To manage a key holder response to emergency ‘call outs’ to the site and to be a named contact and occasionally respond or manage premises team response to out of hours call outs.
About you:
The successful applicant will:
- be organised, personable and efficient;
- have experience of working in a school or premises management;
- be able to problem solve and good at logistical planning;
- be able to perform general repairs and maintenance as needed, including but not limited to plumbing, painting, carpentry, lighting, and to undertake the direct repair of fabric, services and fittings as appropriate to the role;
- have a good understanding of financial planning, health and safety, risk and compliance.
