TheInstitute of Care Excellence provides support for staff, students and learners at NUH and externally through workforce developments, recruitment, research, innovation, education and continuing professional development. This key administration role will work across the institute’s portfolios to support our work to recruit, value, develop and retain the largest staff group at NUH – our 5,500 Nurses and midwives, as well as the wider care staff.

No two days will be the same in this wide-ranging role, as you help to ensure the smooth delivery of educational and research programmes, You will have good organisational skills and be an excellent communicator, able to prioritise effectively and manage a diverse and interesting workload.

The post holder will be based at the City Hospital Campus but will be expected, when required, to work across all NUH sites and external venues in order to deliver the service.
  • Take responsibility for the administration of a portfolio of Institute related programmes, training courses, development days and recruitment events, by working closely with the Institute team leads. .
  • Liaise with internal and external stakeholders to ensure all booking requirements are fulfilled in a timely fashion.
  • Book, plan and facilitate key meetings that are linked within the portfolios & events you are working in. Take notes/actions at all meetings and ensure agenda, notes and any other documentation are distributed to all that attend in a timely manner.
  • Act as Admin Lead for the portfolios and events you are allocated to support.
  • Use initiative and problem solving skills to resolve any issues that may arise on the day of an event, knowing when and how to escalate issues as necessary.
  • Subject to requirement, ensure all databases/ spreadsheets/ publications are kept up to date and accurate, in line with the current SOP for the portfolios you are admin lead for.
  • Work with the admin team to ensure messages to the Institute Mailbox are responded to in a timely manner or cascaded to the relevant Faculty member to answer, providing a high quality communication service.
  • Set up and clearing of any training courses, development days and conference events including technical and equipment support where necessary.

  • Send out pre and post-documentation to students in line with current Standard Operating Procedure (SOP) for event.
  • Use initiative and problem solving skills to resolve any issues that may arise on the day of an event, knowing when and how to escalate issues as necessary.
  • Subject to requirement, ensure all databases/spreadsheets/publications are kept up to date and accurate, in line with the current SOP for the portfolios you are admin lead for.
  • Ensure messages to the Institute Mailbox are responded to in a timely manner or cascaded to the relevant Faculty member to answer, providing a high quality communication service.
  • Set up and clearing of any training courses, development days and conference events including technical and equipment support where necessary.
  • In line with development pathway, take active interest in own personal development.
  • Have a flexible approach to working pattern, occasional weekends are required for certain events (these are remunerated and appropriate notice will be given).
