To provide an administrative service to the Patient Experience and Involvement Team. The post will entail frequent contact with a variety of stakeholders including members of the public (patients) and personnel internal and external to the organisation.

The post holder will be enthusiastic, passionate and persuasive in order to build relationships and inspire staff to engage in volunteering programmes. The post holder will also be required to demonstrate networking skills to enable effective communications both with service users and external agencies.

Provide support to all volunteers and co-ordinate all aspects of their volunteering activity, ensuring that they deliver on commitments made in their role.

To be responsible for planning, developing and maintaining a schedule of volunteer activity.

The post holder will provide an administrative service to activities regarding patient education which will include direct contact with patients and carers and clinical services across the ABUHB and the development and maintenance of office systems to support outcome measures and evaluation.

Main duties of the job
  • Act as a central point of contact for the Nursing Team regarding patient education and Ffrind i mi volunteering Service.
  • To arrange venues for clinical education sessions, arranging diaries etc. with some requirement to support patient education sessions across the geographical area
  • § To undertake the co-ordination and processing of procurement requisitions using the Oracle system.
  • § Assist the management team in meeting challenging deadlines which will require robust and timely systems of communication.
  • To co-ordinate patient education activities, providing support at clinical sessions, providing administrative support, arranging venues etc
  • § Develop, maintain and interrogate databases/spreadsheets necessary to support the delivery of the divisions business. This may involve the co-ordination of data/information collection from other staff across the divisions and directorates.
  • § Support the team in the strategic and operational management of the division. This may involve taking the lead on small projects.
  • § Receives, validates and processes invoices.
  • § Assist in the training and development of other administrative and secretarial staff.
  • § Contribute to the completion of reports, including service activity reports.
  • § Supporting the completion of audit to ensure that essential aspects of the service are delivered
  • § Provide DBS checks

  • HNC in an administrative related subject or proved level of experience
Desirable criteria
  • ECDL

Experience

  • Experience of supervising other staff, such as volunteers, administrative staff, multidisciplinary team
  • Experience of developing and delivering training plans
Desirable criteria
  • Experience of setting up and interrogating databases

Expereince

Essential criteria
  • Excellent knowledge and application of IT software
  • Excellent organisational skills with proven ability to work across many tasks/projects simultaneously
Desirable criteria
  • Ability to speak Welsh
