The Role

As a Financial Planning Administrator, you will play a key role in supporting the day-to-day operations of the financial planning team. This is a pivotal role requiring a proactive, detail-oriented individual who enjoys working in a structured and client-focused environment.

Key Responsibilities

Administrative Support
  • Manage diaries and coordinate appointments for financial planners
  • Prepare documentation and materials for meetings
  • Handle correspondence, including emails, phone calls, and written communications
  • Maintain organised and accurate filing systems
Operational Support
  • Support the client onboarding process, including collecting documentation
  • Assist in processing client transactions and data updates
  • Help prepare reports and materials for client meetings
  • Ensure adherence to compliance and regulatory standards
Data Management and Analysis
  • Input and maintain client data using financial planning software
  • Perform basic analysis and assist in interpreting financial information
Client Service
  • Respond to client queries with professionalism and efficiency
  • Deliver high-quality service to both clients and internal stakeholders

About You

Essential Skills and Experience
  • Minimum of a high school diploma (or equivalent)
  • Previous experience in Financial Services
  • Excellent organisational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities independently and as part of a team
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); familiarity with Apple Macs is advantageous
Desirable
  • Familiarity with financial planning principles and terminology
  • Experience using financial planning software
