Job overview
We require a Band 3 Medical Secretary ideally based at CRH - with cross site working subject to service needs.
The role will be to deliver secretarial support to the Clinical Health Psychology Department, including booking appointments, taking patient phone calls, sending copy letters and maintaining accurate and timely information on Excel and EPR.

Main duties of the job
An opportunity has arisen for a Band 3 Medical Secretary to join the Clinical Health Psychology Department- Autonomous working but also part of a larger team of clinicians and secretaries
- The applicant must have extensive secretarial experience in an office environment and be able to prioritise conflicting and demanding workloads.
- The successful applicant must possess excellent communication skills and have the ability to work well in a team.
- The successful applicant should possess RSA II Word processing or equivalent and have a good standard of general education with the desire to learn new skills and undertake training.
- Experience of ESR & EPR systems would be beneficial as would experience in an NHS setting.

Detailed job description and main responsibilities
Actively work as part of a larger team and support subject to service needs. Post, email, waiting list management. Typing, reports, EPR, ESR, Diary management, telephone communication. Fill in for other members of the team when they are away. Work closely with Clinicians as well as Management.Be the first point of contact for patients, GPs & other Trusts. Telephone cover duties, arrange and minute meetings, and any other duties as required.

Qualifications/Training
Essential criteria- RSA II (or equivalent) typing/word processing and competent audio typing skills
- Willing to undertake further development/training in all aspects of waiting list management
- GSCE English grade 3 -9, (A*-D, or equivalent)
- GCSE Mathematics grade 3 -9, (A*-D, or equivalent)
- Willing to undertake further development/training
Knowledge, experience & expertise
Essential criteria- Experience in a busy office environment
- The ability to communicate at all levels with tact and diplomacy
- Experience of using MS i.e. Word, Excel, Outlook
- Ability to organise and prioritise own workload
- An understanding of medical terminology
- Experience of working in an NHS environment
- Experience of ESR & EPR systems
- Experience of facilitating and minuting meetings
Communication & relationships
Essential criteria- Ability to make informed judgements and make careful analysis of situations
- Ability to prioritise workloads and work under pressure maintaining accuracy and meeting deadlines
- Ability to work on own initiative and make decisions within written guidelines, sometimes without reference to others
- Ability to deal with situations involving phone calls and face-to-face contact with anxious patients/relatives and typing of information of an upsetting nature
- Ability to deal with verbal aggressive abuse from patients/relatives in a professional manner
- Knowledge of an electronic diary
