We are delighted to partner with a distinguished Private Members’ Club, steeped in nearly two centuries of heritage and located in the heart of the West End, in their search for a polished and dynamic Events Coordinator to join their close-knit team.
This is a superb opportunity for a confident and detail-oriented events professional to become part of a vibrant club community, delivering a rich and varied calendar of in-house and external events, including society evenings, talks, private dining, and overseas tours.
The successful candidate will be the first point of contact for members and guests, playing a visible and valued role in the life of the Club. Start date: Mid-June Location: West End Office: 5 days, occasional evening, weekends Hours: 9:00 - 5:30 Contract: Temp to perm Day to day: Take full ownership of the Club’s internal and external events and society programme, from concept through to delivery.
Act as the primary liaison for members, guest speakers, suppliers and internal teams on all event-related matters. Manage all communications, including crafting invitations, overseeing RSVPs, and handling follow-ups using Salesforce Marketing Cloud.
Represent the Club at events – welcoming guests, coordinating logistics, and occasionally travelling for external or overseas functions. Maintain up-to-date event calendars across Outlook, the website and physical noticeboards. Upload event data and logistics into Salesforce Events Management, ensuring accuracy and attention to detail.
Oversee event budgeting, supplier coordination, and financial reconciliations in partnership with the Finance team. Collaborate closely with the F&B and kitchen teams to deliver seamless guest experiences. Produce all necessary materials for events including menus, place cards, table plans, and signage.
Provide timely content for newsletters, website, and social media updates. Provide support and cover for the wider events and private dining team during peak periods and holidays. Candidate Profile: Proven background in event coordination or administration within a luxury hospitality or private members’ environment.
Impeccable written and verbal communication skills, with a personable and diplomatic manner. Exceptional attention to detail and organisational prowess, with the ability to multitask in a fast-paced setting. Proficiency in CRM and events systems (Salesforce or similar preferred).
Discreet, intuitive and always a step ahead – able to anticipate guest needs and ensure smooth delivery. A polished, professional presence with the flexibility to work evenings and occasional weekends. Willingness to travel on occasion, both within the UK and abroad.
