Job overview

The Children and Young People’s Community Eating Disorder Service provides community support and hospital in-reach. This service supports young people and their families in the community to manage their condition and prevent hospital admission.

They provide family based therapy in a range of settings as well as specialist clinical assessment and in-reach to paediatric and acute mental health settings

An exciting opportunity has arisen for a Band 4 Medical Secretary to join our administrative team and to support our medical team, including a Consultant Psychiatrist and the clinical team.

The post holders main responsibilities will be;
  • Be able to work efficiently and effectively to maintain productivity and to meet agreed deadlines
  • Have excellent organisational, communication and interpersonal skills, with both internal and external stakeholders on all levels
  • Excellent knowledge and day to day use of Microsoft Office packages to include Outlook, Word, Excel, MS Teams and excellent keyboard skills
  • Ability to collate and analyse complex data (including reports from RiO), creating accurate statistical reports, and presentations
  • Ability to be self-directed, motivated and contribute positively to the service.
  • To provide pro-active and forward thinking with the ability to use your own initiative
  • To be confident in prioritising and negotiating conflicting workloads and managing time accordingly
Main duties of the job
  • Reliable diary management - Proactive in addressing minor conflicts and problem focused in suggesting potential solutions
  • Experience of accurate high-volume of effective minute taking skills and ensuring all actions are acted upon - this may include live typing
  • Excellent verbal and written skills and communicate professionally and effectively at all levels
  • Proficient audio typing
  • Provide agreed levels of support to the service to maintain cover in the absence of other administrative staff with a flexible approach
  • Communicate openly and effectively to both internal and external stakeholders on all levels, ie referrers/service users and families pivotal to the service
  • Managing and maintaining effective office system with the skills and knowledge of an experienced medical secretary

NOTE: The base for this post will initially be at Ravenswood Clinic, however we will be decanting to Benton House, Sandyford Road, Newcastle upon Tyne, NE2 1QE

The post holder may also undertake additional duties as directed by the Administration Manager.

Education and Qualifications

Essential criteria
  • Educated to O-Level/GCSE standard
  • RSA Level III/ OCR 3 in Text Processing (including text preparation) with knowledge acquired through further experience
  • NVQ 3 in Business and Administration
Desirable criteria
  • NVQ Level 3 in Customer Care or equivalent

Knowledge and Experience

Essential criteria
  • Good working knowledge of office procedures
  • Effective Diary Management skills
  • Previous secretary/clerical experience
  • Ability to uphold confidentiality at all times
  • Knowledge of Patient Information Databases
  • Working knowledge of Microsoft applications
  • Knowledge and understanding of relevant medical terminology
Desirable criteria
  • Knowledge of working in an NHS environment
  • Experience in using stock ordering system

Skills and Competencies

Essential criteria
  • Excellent organisational and problem solving skills
  • Excellent communication, interpersonal and negotiation skills both verbal and written
  • Effective minute taking skills
  • Audio typing skills
  • Able to work under pressure and meet required deadlines
