CLERK TO THE GOVERNING BODY

REQUIRED AS SOON AS POSSIBLE

The appointment of Clerk to the Governing Body is subject to the statutory provisions of the Government of Maintained Schools (Wales) Regulations 2005.

The statutory duties of Clerk are: To convene meetings of the governing body

To attend meetings of the governing body and ensure minutes of the proceedings are produced

To maintain a register of members of the governing body and report any vacancies to the governing body; To maintain a register of governors' attendance at meetings and report on non-attendance to the governing body; To give and receive notices in accordance with the notification of vacancies and appointments; resignations; removal of governors; resignation of chair or vice chair; and convening meetings.

To report to the governing body as required on the discharge of his or her functions; and
To perform such other functions as may be determined by the governing body from time to time.

The clerk to the governing body may provide the governing body with advice on its functions and procedures.

Allowance payable per meeting: £90.00 (based on 2 hour prep, 2 hour meeting, 2 hour follow-up)

Payment by submission of claim form direct to Finance Section, County Hall, Mold.

CLERK TO THE GOVERNORS- JOB DESCRIPTION

1 To work with the chair and headteacher on the contents of the agenda and the supporting papers for each meeting of the governing body and to agree on confidential items for Part 2.
2 To attend and support meetings of the governing body and to take accurate notes from which to prepare minutes.
3 To check with the chair on any actions that have been taken between meetings and ensure that they are reported to the governing body.
4 To prepare and send out the papers to the governing body at least seven days before the meeting.
5 To ensure that the governing body fixes the dates for future meetings
6 To write, produce and send copies of the draft minutes to the chair and headteacher for checking
7 To distribute the draft minutes to the governors after they have been checked by the chair and headteacher.
8 To record the attendance of the governors in meetings and to warn governors who are in danger of disqualification through non-acceptance of apologies
9 To keep a register of the dates of expiry of terms of office and give due notice to the governing body

10 To inform the chair, the Local Authority and Diocesan Authority or appropriate body, of any resignations or appointments and ensure action is taken to fill the vacancies.

11 To liaise with clerk to Community Council over appointment of Minor Authority governors (primary schools only)
12 To maintain relevant files and records of correspondence and documents.
13 To assist the governing body in the preparation of the Annual Report to Parents and Annual Parents’ Meeting.
14 To advise the governing body on where to obtain relevant advice and information.

The nature of the role dictates that the appointed person may be required to perform tasks which are not outlined above, but these tasks will be commensurate with the duties above.
