The Secretariat Manager will be responsible for: Overseeing the provision of a centralised, high quality secretariat service, and supporting systems, for the Boards, the Board Committees and Executive Group meetings. Ensuring agendas and papers for the Board and Executive Committees and Executive Groups allocated to the post holder are produced to a high quality and in a timely manner.
Taking minutes for Board and Executive Committees and Executive Groups assigned to the post holder, ensuring that these are prepared to a high standard and circulated in a timely manner. Supporting, when required, the compilation of Board papers to ensure they comply with the required organisational governance standards.
Following up on actions from Board and Executive Committee and Executive Group meetings assigned to the post holder and tracking progress. Dealing with relevant correspondence, collating information, and writing reports for the portfolio of Board and Executive Committees and Executive Groups assigned to the post holder, ensuring decisions made are communicated to the relevant stakeholders.
Supporting NHS Englands commitments to openness, transparency, and public accountability. Supporting the wider Board Secretariat team, as and when required, in the arrangements of logistics, attendance and secretariat support for Board and Committee and Group meetings The post holder will support the induction process for new Board and Committee members.
Supporting the work of the directorate and supporting the Assistant Director of Secretariat in ensuring that the Board and its Committees are properly constituted, operated, and supported, according to the Governance Manual documents and the regulatory framework.
Curating the library of governance documents and in particular the matrix of statutory duties. Assisting the Assistant Director of Secretariat with ad hoc queries and/or projects. Supporting the Secretariat Lead in the production of the relevant sections of the Annual Report.
Participating in relevant internal and external working groups/projects, services, and initiatives to provide project, information and analytical advice and expertise as required. With the Assistant Director of Secretariat and/or Secretariat Lead, helping the team to develop and implement processes and systems that align to strategy.
Help to ensure that Board development arrangements are in place, as and when required, leading to continuous improvement of Boards systems and effectiveness. Supporting the annual Board and Board Committee effectiveness review. Support with providing advice and guidance for Non-Executive Directors with regard to the Boards and Board Committees.
Helping to maintain an annual forward calendar for the Board, the Board and Executive Committees and Executive Groups assigned to the post holder, in consultation with the relevant chair(s)and supporting the provision of a similar programme for all committees of NHS England.

Helping to ensure arrangements are in place for consistent and accurate minute taking at Board and Executive Committee or Executive Group meetings, including taking direct responsibility for committees as required.
