The Role

We are looking for a detail-oriented and proactive Operations Coordinator to join our Operations team for a 12-month fixed term. This role is evenly split between our Supply Planning and Customer Service teams, supporting critical operational functions across inventory and purchase order management, logistics, and customer service processes.

The Operations Coordinator position reports to both the Supply Manager and the Customer Service Manager, reflecting the dual responsibilities across the Operations department.

The ideal candidate will have strong organisational skills, a problem-solving mindset and the ability to work collaboratively with internal teams and external partners. This role requires someone with effective time management, someone who can adapt to changing priorities and handle multiple tasks simultaneously from both teams.

What You Will Do

Supply Planning Support
  • Assist with inventory management execution & reporting, ensuring data accuracy and timely updates of the Enterprise resource planning (ERP) systems.
  • Support end to end purchase order processing, including tracking and reconciliation.
  • Collaborate with the Accounts Payable team to verify and ensure timely and accurate processing of invoices.
  • Coordinate with external suppliers and logistics teams to manage freight & shipping processes efficiently.
  • Work closely with the Supply Planning team to ensure stock levels are optimised and reduce supply chain risks.
  • Work closely with the Product Development team to address product-related queries and ensure seamless processing of Purchase Orders
Customer Service Support
  • Support the B2B customer service team with order processing and smooth order management.
  • Assist in order processing and fulfilment ensuring timely and accurate deliveries to customers.

  • Monitor and maintain service levels, ensuring customer satisfaction and operational efficiency.
  • Contribute to continuous process improvements within the customer service workflow, identifying opportunities for increased efficiency.
Requirements
  • Experience in operations, supply chain, or B2B customer service (preferred but not essential).
  • Strong organisational and multitasking skills, with the ability to prioritise workload effectively.
  • Customer Service mindset, ensuring high level of service and satisfaction in all areas.
  • Excellent communication and problem-solving abilities, with the ability to interact confidently with customers, suppliers, and internal teams.
  • High attention to detail and accuracy in processing orders, managing data and tracking deliveries.
  • Problem-solving mindset, with the ability to handle customer enquiries and resolve issues efficiently.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with ERP or CRM systems is desirable but not required.
  • Ability to work in a fast-paced, dynamic environment.
  • Strong team player.
  • Collaborative and communicative to ensure that all activity is co-ordinated, aligned with the brand and meets business and customer requirements.
