Job overview
Secondment opportunity for any existing employees within Lancashire and South Cumbria Trusts.
This exciting role will provide a broad range of professional administration support to directors, associate directors within the all age continuing care and individual patient activity team of the ICB.
This is a hybrid role working from home and our Preston office. Flexibility would be required to attend office for meetings.
Main duties of the job
Provide a high standard of PA/administration support to the directors and managers on a day-to-day basis, acting as a first point of contact for the directors.
To plan and organise meetings as required and maintain the electronic diaries for the directors. Book venues, arrange attendance and ensure necessary equipment is available.
Provide an effective administration service including the preparation of agendas, production of notes and circulation and follow up of actions.
Organise and maintain and electronic filing system for the directors to facilitate the smooth running of a high-quality administrative service.
Prepare documents and presentations, working to tight deadlines, ensuring all documents are produced in accordance with the ICB’s corporate style.
Confidently use judgement on urgent matters and issues that can be dealt with on behalf of the directors; prepare background information on issues as required.
Deal with internal and external enquiries taking messages, redirecting calls or resolving matters, sometimes on contentious/sensitive issues where discretion must be demonstrated as required.

Experience
Essential criteria- Experience of taking minutes and experience of action setting/planning
- Experience of working in an extremely busy office environment
- Experience of implementing and maintain filing systems
Qualifications
Essential criteria- Good general education to GCSE level or equivalent including maths And English.
- NVQ Level 4/diploma level qualification or equivalent level experience
Skills
Essential criteria- Extensive knowledge of Microsoft Office package including Outlook, Word, Excel, PowerPoint
- Skills for communicating complex information and administration matters Requiring developed interpersonal/oral/written communication skills.
- Understanding and commitment to equality of opportunity and good working relationships
- Ability to work on own initiative as well as part of a team, organising and prioritising own and others’ workloads to changing and often tight deadlines
