Main duties of the job

Project Management involves executing business projects for the Directors and maintaining portfolios.

Business Management includes preparing reports, policies, and documentation for the Directors.

Advanced Administration requires skills in minute-taking, report writing with statistical data, and effective scheduling.

Daily management of the Director’s office includes keeping files current, providing briefings, and identifying deadlines.

In the Directors' absence, coordinating the office is essential for addressing urgent issues.

Timely handling of all correspondence for the Director is crucial, with proper prioritization.

Managing sensitive communications from staff and external parties is a key responsibility.

Drafting various documents on behalf of the Directors is required.

Addressing complaints from patients and the public while adhering to Trust policies is important.

Building and maintaining effective relationships with Trust Board members, senior staff, and external organizations is vital.

Qualifications

Essential criteria
  • Able to demonstrate level of administrative/management knowledge and theory.
  • ECDL or equivalent experience in Microsoft Office and email applications.
Desirable criteria
  • Management qualification or equivalent.

Experience

Essential criteria
  • Significant proven experience as an Executive Assistant at Senior / Director level.
  • Experience in managing administration functions at Senior Director level.
  • Experience of taking and transcribing minutes.
Desirable criteria
  • Experience at Board level within a large NHS or public sector organisation.
  • Experience of managing small-medium sized projects.

Practical and Intellectual Skills (including any Special Knowledge)

Essential criteria
  • In-depth knowledge and understanding of effective office systems, policies and procedures.
  • Knowledge of managerial procedures.
  • Advanced secretarial skills.
  • Ability to work under pressure in a complex and changing environment.
  • Excellent organisational and time management skills, being able to prioritise demanding workloads to meet strict deadlines.
  • Excellent interpersonal skills.
  • Excellent written and verbal communication skills, demonstrating confidence to communicate at all levels, internal and external
  • Ability to work as part of a team.
Desirable criteria
  • Broad understanding of NHS policies and principles and the wider political context
