The OUH SupplyChain Team is looking for an enthusiastic and diligent Stock Controller for the busy JR Theatres Dept.

This role is vital to the effective running of the Theatre Dept and it's wide range of Clinical Specialities. Responsible for maintaining, sourcing and re-ordering a wide range of Clinical Consumables, this is a key role within a busy Dept. Excellent Communication skills are essential, problem-solving skills and the ability to work on your own initiative are required.

An operating theatres Stock Controller assumes responsibility for maintaining, rotating, checking and ordering consumable surgical material supplies for a variety of theatre specialties working within the theatre department.

The Stock Controller will use a computerised traceability and stock management system. Many of these items will be time sensitive in regard to providing necessary materials / items that are vital for patient care.
Materials management ensures the provision of a cost effective, confidential and efficient distribution service.

The role will be a crucial link between the JR Theatre department and the hospital Procurement department, disseminating necessary information regarding material management issues to theatre matrons, team leaders and Procurement teams.

Experience of working in a material management capacity is desirable, although training will be provided. A proven track record of intermediate level (or higher) computer literacy is required to manage the

electronic materials management systems as well as an ability to demonstrate initiative and work unsupervised.

Materials management

 Ensure that access to the computerised traceability and stock management system is monitored and that the correct security procedures for access to the system are followed at all times in line with the Data Protection Act 2018 including GDPR and the Code of Practice on Confidentiality.

 Responsible for placing orders, receiving, checking, safe storage, and correct distribution of all surgical consumable materials. The theatre matrons and team leaders will determine the levels of stored materials within the agreed theatre budgets.

 To ensure that all stock is stored according to the manufacturers’ storage
recommendations.

 Responsibility for the delivery and safe and secure storage of specific implants for named patients on designated operation dates.

 To responsibly co-ordinate the ordering and delivery of high cost surgical
consumable materials.
 Checking on receipt of goods that items are correct and undamaged, recording this information via the computerized stock management system.
 To respond to requests for all stores services, including arranging couriers and ensuring the security of storage boxes/containers and their direct return to Suppliers.
 Ensure frequent stock rotation to minimize waste.
 Ensure that storage areas are kept clean and tidy, and discarding and removing rubbish/cardboard packaging.
 Organising and undertaking all annual materials management audits.
 Ensure that all materials management complaints/incident reports are investigated, actioned and archived correctly.
 To complete traceability/stock modules for in-house training programme.
 To communicate face-to-face, via telephone, email, bleep or written message to convey clear information regarding surgical consumable materials within the theatre department.
 Liaise with theatre and medical staff, suppliers, procurement officers and secretaries throughout the theatre suite and the organisation regarding materials management information and supplies.

 There is a requirement to lift while carrying out duties with materials management, with a frequent requirement to exert moderate physical effort whilst unloading and loading delivery trollies, cages and pallets. Undertaking all statutory and mandatory training is essential.

Clerical/Administration
 Authorization and completion of agreed materials management requisitions.
 Investigation of late or incorrect orders, with adjustments to invoice payments as required.
 Electronically filing invoices for orders under the correct subjective codes and files.
 Maintaining a comprehensive electronic filing and record system.
 Maintaining electronic data records to produce relevant statistical reports when requested, including monthly spreadsheets and annual audit reports for theatre matrons, team leaders, service managers and procurement managers.
 Providing relevant information e.g. consumable materials alerts via email, on staff notice boards and verbally communicating this to the team leaders.
 Managing electronic diary and emails in a timely fashion.
 Demonstrating a good working knowledge of computerized traceability requisition systems.

 To undertake the necessary training updates for the procurement requisition systems as required by the trust procurement team.

 Dealing with any queries and solving problems.
 To ensure that Health and safety measures are adhered to in accordance with trust policies.
 To support any material management colleagues with any training should it be required.
 To attend regular management and team meetings.
 To participate in the annual appraisal process.

 The duties and responsibilities of the post will be undertaken in accordance with policies, procedures and practice of the OUH. The OUH trust may amend these at intervals. It is the post holder’s responsibility to keep up to date with hospital policies and procedures.
