Our e-Rostering team are looking for an organised and proactive individual to support the team during the critical go-live phase of the Temporary Staffing Collaborative.

The main duties of the role will involve providing support to those on-boarding into the collaborative via both via telephone and email. This will include assisting users with login access and resolving common queries/issues, distributing relevant guides and documentation, managing the project inbox and escalating issues as necessary.

The ideal candidate will have administrative experience, strong communication skills and a willingness to learn.

Main duties of the job

As a member of the e-Rostering team, you will assist in the day-to-day operational work of the team, which will involve liaising with members of staff across the organisation, and in external organisations.

Provide first line support for queries from staff both internally and externally, via email and telephone. Supporting staff but providing guidance on the usage of E-Rostering systems and related products as well as resolving basic issues and escalating problems when required.

Detailed job description and main responsibilities

To act as an administrator for the e-Rostering system

To provide a reception service to the team and answer the telephone. Answer questions where possible or direct calls to the appropriate member of the team

Support the day to day maintenance, operational support and administration of the Trust’s e-Rostering system. This will include:

  • The creation and maintenance of user accounts and system passwords in line with Trust policies.
  • Adding new joiners, removing leavers, amending contracted hours and re-assigning postings in line with Workforce Notifications or as requested by ward/department managers.
  • General system housekeeping such as updating Staff and Assignment numbers, Professional Registration numbers, NI numbers, user account checking and posting updates.

To monitor shared inboxes including responding to queries, triaging emails, escalating issues and ensuring inboxes are well organised and orderly.

To answer and advise on general e-Rostering enquiries to include queries for related products, escalating where required.

To interact with employees at different levels of the organisation and at external organisations.

Provide up to date documentation to support staff in use of the e-Rostering system and any associated products where required.
