As a freelance Executive Producer at CH.S your responsibilities span from strategic project pipeline planning through to final delivery. Proactively engaging with our clients, you help us build a clear picture of their project landscape alongside their key strategic goals and objectives.

From here, your role is instrumental in converting the right opportunities for CH.S into viable projects and then leading them to successful delivery.

With an unwavering focus on aligning the studio's output with our core values and the client’s objectives, you lead the smooth and efficient running of projects, culminating in the production of work that everyone can be proud of.

Pipeline Planning

Working alongside CH.S SLT the EP is responsible for…
  • Proactively engaging with clients to understand their project landscape as well as their key strategic goals and objectives.
  • Collaborating with CH.S SLT on capacity planning to ensure the studio has the time, space and resources to deliver your projects successfully.
  • Negotiating with clients on the best way for us to be engaged on the project. Whether that is breaking the project up into component parts each with its own budget and SoW or having a single high-level SoW for the project as a whole.

Brief Interrogation

Once an opportunity converts into a live brief the EP as part of the project leadership team is accountable for…
  • Assessment: Evaluate incoming briefs for clarity, feasibility, and alignment with the agency's capabilities and business objectives. This includes understanding the project's goals, target audience, desired outcomes, and other key information.
  • Clarification & Confirmation: If a brief is unclear or incomplete, engage with clients to seek further information or clarification. This may involve asking specific questions, suggesting adjustments, or requesting additional information or resources.
  • Interpretation: Interpret the brief to the agency's internal team in a way that aligns with the agency's capabilities and strategic approach. This could involve translating the brief into a more detailed project plan or proposal (reverse brief).
  • Alignment & Consensus: Ensure that all internal stakeholders understand and agree with the brief before moving forward. This includes facilitating discussions or meetings to review the brief and address any questions or concerns.
  • Documentation: Document all aspects of the brief and any related discussions or decisions. This provides a clear record and reference point for the project and helps to prevent misunderstandings or disputes.

Project Planning, Budgeting and Scoping

As an EP in CH.S, you are accountable for the project planning, scoping and budgeting of the projects you oversee. Depending on the project size and setup this will mean owning and creating your own plans, SoW and budgets as well as overseeing the creation of these by other producers you are overseeing.

Project Planning
  • As soon as possible develop realistic and commonsense initial work back plans which act as a guide for clients and CH.S to understand how the project can be structured and what the key milestones and timing constraints are.
  • As the project progresses, evolve initial work back plans into detailed project timings ensuring they are kept up to date and that our clients and internal team are kept up to date and aligned with all timelines, deliveries and key milestones.
Budget Management
  • Once we have a top-level understanding of a project's potential requirements and budget, drawing from your experience and in partnership with CH.S SLT, you will be responsible for creating preliminary budget splits.
  • The budget splits at this stage act as a catalyst in building a collective understanding between CH.S and our clients on what the project's priorities are, guiding how the budget should be generally allocated, as well as driving discussions about budgetary considerations, constraints, risks, and opportunities.
  • Ensure all necessary client approvals, contracts, POs etc are in place before a project is started.
  • As the project progresses, work with the project team and CH.S SLT to estimate and build out detailed budgets for all work streams, ensuring the client is kept up to date and aligned with all budget iterations.
  • Oversee and manage project budgets, ensuring effective allocation of resources, cost control, and timely reporting while maintaining commercial awareness across projects and flagging opportunities for added value or efficiencies where appropriate.
  • Accountable for maintaining the profitability of projects, balancing client expectations and requirements with the efficient and cost-effective delivery of high-quality output.

Scoping

Take charge of comprehensive project scoping: identify, record, and communicate all project requirements and key out-of-scope elements in supporting documentation. Ensure the project's scope is thoroughly reviewed and ratified by all pertinent CH.S and client stakeholders before progressing with execution.

Resource Management

Oversee effective ongoing resource management in the projects you lead, ensuring the appropriate team is allocated to each project, considering its requirements and the necessary skills, expertise and capacity required to successfully deliver it.

Leading client communications
  • Cultivate strong relationships with your day-to-day clients, building their trust and reliance on you as the key person who helps them succeed and deliver great projects.
  • Serve as a critical point of escalation for both internal teams and clients, resolving issues promptly and effectively to maintain project momentum, uphold client satisfaction, and ensure the team's adherence to project goals and standards.
  • Ensure clients are kept up to date on the status of projects, including progress on workstreams, changes to scope, timeline, and/or budget, and highlight risks, issues, and blockers.

Managing and collaborating with external partners

Manage external partners through all project stages, including sourcing, cost control, contracting, scheduling, onboarding, and managing and offboarding.

Uphold CH.S values in all partner interactions, ensuring external collaborators meet our standards of clarity, quality and conduct throughout the engagement.

Leadership & Mentoring
  • Provide strategic and creative direction and support to project teams throughout the project lifecycle, ensuring alignment with key objectives, timelines, and client expectations. This includes facilitating effective communication, resolving conflicts, and providing guidance on decision-making to navigate challenges and ensure successful project outcomes.
  • Mentor and guide the producers you oversee in their professional development, providing constructive feedback and coaching, helping them enhance their skills and expertise and encouraging their continuous improvement and development.
  • Identify and address any performance issues or challenges faced by producers, providing timely guidance and support to help them overcome obstacles and reach their full potential. Additionally, collaborate with relevant stakeholders to create action plans for improvement when necessary.
  • In collaboration with CH.S SLT, proactively identify and implement practical process improvements within your project teams, addressing inefficiencies or blockers.
  • As a senior delivery lead, you are responsible for fostering a proactive approach to risk identification and mitigation within your project teams. This includes anticipating issues early, building appropriate contingency plans into scopes and timelines, and ensuring clear escalation paths are established for risks across budget, scope, resource, and delivery.
