Job overview

The Governance Team are looking to recruit an administrator to our Quality and Governance Team. The Quality and Governance Team work with staff throughout the Trust to help improve the safety of patient care. As the team’s administrator, you will be central to their work: you will coordinate meetings, write minutes and ensure team members are made aware of their actions.

You will support the process of incident investigation by attending meetings and interviews as required and taking notes of the discussions. You will manage the Team’s internal website page, ensuring that all staff have up to date information and the latest documents to help them better manage their own governance processes.

Main duties of the job

You will also be integral to how the Trust manages National Safety Alerts. You will work with the Central Alerting System Liaison Officer and Medical Devices Safety Officer by ensuring safety alerts are logged and shared with the appropriate members of staff, and then collating the receipt of responses and actions.

You will also work with the Safeguarding team to ensure that Deprivation of Liberty Safeguards (DOLS) are logged, reported externally as required and tracked. You will play an important role within the Team, ensuring that the correct legal processes are undertaken.

This is an important role within the Team and for the Trust – you will be handling highly sensitive patient information, manage data with due regard to patient confidentiality and have the utmost attention to detail. You will be highly proficient with Microsoft Office packages, including Word, Excel and Powerpoint.

Detailed job description and main responsibilities

This post is required to support the delivery of the Trust’s quality governance agenda by undertaking administrative work for the quality governance team. The post holder will play a key role in ensuring that current systems and processes within the department work effectively and efficiently by ensuring that necessary administrative work is completed in a timely way.

In addition, the post holder will provide day to day support to the Associate Director of Quality Governance in ensuring the availability of key documentation for meetings as well as minute taking for meetings as necessary. The post holder will support the Trust’s Central Alerting System Liaison Officer in managing national alerts and field safety notices, and data entry as required on both external portals and internal spreadsheets

Qualifications

Essential criteria
  • Minimum 3 GCSE at Grade C or above, including English, or equivalent
  • Educated to A-level, NVQ or equivalent

Knowledge and Skills

Essential criteria
  • Proficient in Microsoft packages including Word, Excel, Powerpoint and Outlook
Desirable criteria
  • Experience of working within the NHS or a publicly funded organisation
  • Previous experience of working in office environment
  • Knowledge of a range of secretarial and administrative procedures
  • Proficient in the use of databases
