Job overview
We are currently looking to recruit a Facilities Co-ordinator at Colchester General Hospital.
You will support the Portering and Waste manager in providing and maintaining a safe and highly efficient professional delivery of a high quality multi-task portering service to patients, clients, external agencies and visitors of the Hospital/Trust.
It is essential that staff are well groomed, courteous and considerate of others. Emphasis is placed on proficiency in working Portering systems, radio, Ipods and telephone networks. To ensure that the highest standards are achieved and maintained throughout the site(s), and provide a hands-on approach to motivate, train and encourage all porters.
ESNEFT is undergoing a transitional phase which may result in the outsourcing of Soft FM services to another provider from April 2025. Successful candidates will commence on ENSEFT terms and conditions before transferring employment to the new employer.Terms and conditions will largely remain unchanged upon employment transfer.
Main duties of the job- Assist in the allocation of overtime and/or agency cover ensuring the most efficient and effective deployment and utilisation of resources and keeping to within budget
- To record absence and sickness, conduct return to work reviews, performance manage and improve records of those with poor sickness absence levels
- Liaise daily with the Trust staff, including ward/department managers to ensure client satisfaction with the service provided including daily medical directorate managers meetings.
- To maintain good communication with staff and peers
- To carry out ‘Job chats’ with all the Portering team based on performance. Identify and provide relevant training to develop and achieve the highest standards.
- To provide the delivery of both high-risk items e.g. blood and specimens and all patient orientated equipment, drugs, supplies and sort & deliver mail.
- To operate wheelchairs, trolleys, beds and bed pushers in order to perform duties in a safe and purposeful manner.

Detailed job description and main responsibilities- Responsible for medical gas stock control and ordering. To arrange and deliver medical gas within the hospital complex and outlying sites adhering to regulations and local arrangements.
- To meet and liase with the fire brigade in the event of a fire.
- To collect and deliver hot meals and snack boxes to departments out of hours.
- To create and format databases /spreadsheets for portering as necessary.
- To carry out all risk assessments within the portering department and ensure that all safe systems of work are used.
- Liaising with external agencies as necessary i.e. BOC medical, Panther taxis, Colchester Skip Hire and SRCL.
- To ensure the correct moving and handling procedures are followed with regard to moving large/heavy/bulky items e.g. furniture and equipment, consideration of COSHH and RIDDOR regulations also applies.
- To check all portering related equipment for defects and cleanliness throughout the day and ensure corrective action is taken where necessary, reporting all unsafe conditions of equipment to the Logistics Managers.
- Required to attend all major incidents 24/7 when on shift. Responsible for the allocation and reallocation of all Portering staff during major incidents.
- To assume the responsibilities of the Portering Manager out of office hours.
- Carry out duties in an area where there may be physically/mentally-disabled patients.
- To transfer bodies to the mortuary and complete all relevant documentation. Responsible for the preparation of bodies for viewing by relatives in the Chapel of rest out of office hours, whilst conforming to all religious beliefs.

Person specification
Experience
Essential criteria- Experience of working within Logistics Services
- IT Literate using MS Programmes.
- Experience of analysing data/information and writing reports.
- Experience in carrying out audits.
- Experience of teamwork
- Experience of working in a customer focused environment
- The ability to work within a challenging environment with previous experience within this service sector
- Ability to carry out the physical requirements of the post, with any reasonable adjustment being made under the DDA.
- Previous experience in a hospital environment
- Previous experience within a Logistics Service role involving working with members of the public
Qualifications
Essential criteria- Full UK Driving Licence.
- Degree or relevant experience of working in Facilities Management in the NHS.
- NVQ Level 4 in Environmental Studies or Equivalent.
Knowledge
Essential criteria- An understanding of waste systems currently in use in the NHS as detailed in HTM07-01.
- Good understanding of NHS Guidance.
- Ability to work in a medical environment
- Good leadership skills
- Wide knowledge of medical gases
- Manual handling knowledge and awareness
- Understanding of a Customer Services environment
- Good knowledge of Facilities practices within NHS.
- Familiar with various Waste legislation and approved codes of practice.
- Understanding Customer Services within a hospital environment
