Marketing & Communications Assistant
Administrative Support & Diary Management
Manage central team mailboxes, responding to queries and directing messages appropriately.
Maintain and coordinate diaries for directors and senior team members, scheduling internal and external meetings.
Provide administrative support for various internal committees, including preparing agendas, taking meeting minutes, and following up on actions.
Assist with department-wide initiatives such as presentations, organograms, case studies, and team updates.
Events & Marketing Support- Assist with planning and execution of corporate and departmental events, including venue research, logistics coordination, and on-site support.
- Work closely with the design team to create and procure bespoke promotional items and branded merchandise.
- Maintain and update the corporate events and client entertainment calendar.
- Organise all team meetings/WIPs collate slide decks, circulate agenda and minutes.
- Assist with projects including preparing or updating PowerPoint slides, organograms, case studies, email campaigns.
- Manage invoices in our system ‘Compleat’ to ensure they are coded for approval.
- Manage the reconciliation of Marcomms credit card payments via the Expenses system.
- Complete staff charitable donation requests as approved by the Charity Committee and recording charity activities.
- Monitor and manage stock levels for corporate promotional materials and liaise with external suppliers for reorders.
- Sourcing, analysing and creating daily and weekly media coverage reports.
- Assisting with compilation of quarterly department dashboard.
- Updating content on the company intranet, Colliers Hub.
- Assist with social media and website updates in collaboration with the digital team.
- Monitor internal communications and provide administrative support for team-wide initiatives
- Monitoring several inboxes daily and direct requests from internal and external clients to the appropriate Marcomms contact.
- Co-ordinating diaries and arranging meetings for Department Heads as required.
- Any other task that may reasonably be required.
- Excellent knowledge of Microsoft Office, including Word, Excel, PowerPoint and Teams.
- Excellent organisational skills with ability to prioritise multiple tasks.
- Strong written and verbal communication skill
- Professional attitude and presentation.
- High level of attention to detail including strong proof-reading skills.
- Able to build relationships at all levels in the company from team administrators to the CEO.
- Be a real team player with a proactive “can do” attitude.
- Experience using the following would be advantageous (though training will be provided):
- Salesforce, or similar CRM system.
- Email marketing platform, e.g. Adobe Marketo
- Social media tools including Hootsuite, LinkedIn, etc.
- CMS experience e.g. Wordpress, Sitecore
- Photo or editing software e.g. Canva, Photoshop, Illustrator, Adobe Premier pro
- Video conferencing software e.g. Zoom or MS Team

Purpose of the role
To provide high-quality administrative and operational support to the marketing team, ensuring smooth day-to-day operations and assisting in the successful delivery of marketing initiatives, events, and team coordination.
