We’re seeking a skilled individual to join our non-patient facing administration team and help raise the profile of our dynamic and internationally respected External Quality Assessment (EQA) programme, based within Sheffield Teaching Hospitals NHS Foundation Trust.
As part of our established administration team, you will work alongside healthcare scientists specialising in Immunology, Immunochemistry, and Allergy. Together, you’ll deliver an efficient and responsive EQA service to clinical laboratories across the UK and internationally.

Main duties of the job- Team Leadership & Training: Manage, train, and appraise admin staff.
- Administrative Support: Provide flexible secretarial services and cover as needed.
- Financial Tasks: Process invoices, assist with debt recovery, and monitor income/contracts.
- Event & Meeting Coordination: Organise training events and take minutes for key meetings.
- Data Management: Maintain accurate records, databases, and ensure confidentiality.
- Quality & Compliance: Contribute to audits, follow SOPs, and uphold safety standards.
- General Admin Duties: Handle correspondence, manage stock, and support daily operations.
This role demands strong organisational, leadership, and communication skills to support the efficient delivery of the EQA service.

Education and Qualifications
Essential criteria- GCSE (or equivalent) at Grade C/4 or above in English and Maths or equivalent experience/ qualifications
- Short courses / demonstrable experience in HR / management / supervision such as work allocation and checking, recruitment & selection, contribution to appraisal procedure.
- IT related NVQ III / demonstrable courses in MS Word, Excel and/or Access at an intermediate or advanced level or similar qualification or demonstrable equivalent experience
- Evidence of short courses / experience in minute taking / audio typing
- Short courses / experience in social media / website management
Experience
Essential criteria- Experience of leadership/supervision
- Project management skills
- Creation of original website and/or social media content
- Demonstrate experience in management and manipulation of data from databases which may include bespoke SQL software systems
- Demonstrate experience of summarising key information by utilising a variety of methods to present data, run charts, pivot tables etc
- Effective demonstrable book keeping skills required including raising invoices and debt chasing
- Experience of ordering supplies and maintaining adequate stock levels within department
- Experience of working in a customer services environment able to demonstrate excellent interpersonal skills when presenting information to a wide range of colleagues
- Experience of electronic diary management
- Experience of understanding and maintenance of quality management systems using relevant software e.g. Q Pulse software as well as the use and production of Standard Operating Procedures
