We are looking for a brilliant People and Development Administrator to join our team on a 6 months fixed term contract; you'll be responsible for administrating and coordinating a range of vital processes and activities across people operations and L&D.The accurate and efficient completion of these play an important role in ensuring we have a diverse team of talented people who have what they need to deliver brilliant work, and can learn, grow and have fun while doing it.
Responsibilities will include:
- Preparing permanent and fixed-term contracts, welcome emails and relevant administration for new starters.
- Managing the RY induction programme for all new joiners
- Preparing freelance contracts, Non Disclosure Agreements (NDAs) and welcome emails, ensuring managers and support teams are prepared for the arrival and onboarding of freelancers.
- Liaising with the Workflow, Production and Birmingham teams to confirm freelancer extensions and updating relevant systems and paperwork with new end dates.
- Actioning freelance contract extensions or amendments in a timely manner.
- Completing contract addendums, hire change notification emails for any employment changes, including updating relevant systems and org charts.
- Managing sickness absence; reviewing data, collecting self cert forms and highlighting concerns.
- Keeping the People team weekly meeting agenda up to date with starters, leavers, 3-month check ins, probations etc.
- Organising training sessions, including room bookings, invites, reminders and keeping external/internal trainers update with attendance details
- Day-to-day people administration
Requirements
A lover of admin- Extremely organised, manages time effectively and prioritises work well.
- Excellent attention to detail, captures and records data correctly and efficiently.
- Proficient at using Outlook Calendar, Word and Excel.
- Prepares well for meetings and participates fully, including capturing actions and delivering on them.
- Escalates obstacles or set-backs on tasks and puts forward suggestions for resolution.
- Capable of working with a wide range of stakeholders with varying needs and styles.
- Proactively keeps stakeholders updated and well informed.
- Asks the right questions to get the required information and listens well. Gives people confidence that what they’ve said as been understood and will be delivered.
- A good writer, capable of writing quality content in line with RY’s tone of voice that is informative and well formatted.
- Brings positivity and focus to every task.
- Is approachable and easy to work with.
- Keeps up to date with People related news and trends.
- Is proactive and responsive, doesn’t have to be chased or reminded.
- Provides consistently strong customer service to RYers of all levels.
