Farsight is wogking on an exciting project for one of our public sector clients.

A previous piece of work undertaken by a digital team delivered several changes for the client, to improve the effectiveness of their use of the system - a Dynamics 365 CRM which is used by the client and its case workers to carry out various tasks such as initial assessment, investigation, scheduling, hearing, comms with teachers, legal reps and panel members etc.

A related service currently being used is the portal – a Dynamics add-on which is used by external panellists to collect their availability for Professional Conduct Panels and to securely transfer case sensitive information to these panellists.

The focus for the current piece of the work is for BA support to assist with iterative improvements to the above services, in response to product backlog prioritised features which have not been delivered as part of MVP, using user and business feedback, as well as policy changes as drivers.

We would like for a business analyst to:

  • Have familiarity or understanding of CRMs (with a preference for Microsoft Dynamics).
  • This will be important to hit the ground running, as the client already has a Dynamics Solution in place that is being used for day-to-day work
  • The two services both have dependencies which can have impacts for various user groups. A strong understanding of how the CRM can be used to deliver desired outcomes is preferred
  • Be adaptable and flexible
  • Working in small team (alongside only a CRM developer), faced with competing demands and priorities of stakeholders
  • Be able to work autonomously
  • Takes ownership of pieces of work and see it through from discussion to implementation removing ambiguity
  • Proactive to help de-risk and shape the work, asking a lot of questions and presenting it to the team
  • Be collaborative and confident, working with senior stakeholders to understand the dependencies where activities can overlap
  • Excellent communicator and collaborator across the service
  • Ability to collaborate and facilitate sessions, as well as through writing tickets
  • Facilitation of Agile ceremonies e.g. 3 Amigos

Services / outcomes required:

Outcome 1: Support and improve existing services
  • Address prioritised items on the backlog
  • Ensure appropriate metrics and feedback mechanisms are in place for all of the services
  • Monitor service performance, pain points and user feedback to identify and recommend where critical fixes are needed
  • Mitigate risks identified in DPIA and ensure corresponding Privacy Notices, Sharing Agreements and any other related documents are up-to-date and maintained
  • Work is effectively scoped, planned, sized and tracked
  • User stories are refined to meet the definition of ready and completed to the definition of done
  • For TMS Application Optimisation (one particular prioritised backlog feature that has not yet been delivered) - work with the business to identify data parameters that are surplus to requirements, develop a process to regularly review
Outcome 2: Support development of longer-term strategy
  • Analysis of user needs addressed by the service in the context of the full user journey to recommend future strategy, with priority given to onboarding the new triage processes on TMS
  • Ideas are shared with key stakeholders for feedback
  • Manage stakeholder expectations and delivery of the prioritised items in the backlog
Outcome 3: Develop TMS triage process
  • Collaborate with stakeholders and SMEs to create as-is process map for triaging the referrals in TMS
  • Conduct analysis to recommend a solution for building the triage process in TMS
  • Work with the CRM developer to assess the technical feasibility and structure of the process
  • Build test cases for when the processes are onboarded
  • Document recommendations and play back changes/achievements to the client
