Part-Time Administrative and HR Assistant

Salary: £35,000 pro rata
Job Type: Permanent, part-time (3-days per week), flexible
Location: London office

Reporting into the VP of Operations, the Administrative and HR Assistant will support the human resources department by handling a variety of administrative tasks. These duties include maintaining employee records, assisting with recruitment processes, managing all employee benefits, and creation of HR documents such as employment contracts and policies - this role involves strict confidentiality and discretion in dealing with sensitive employee matters.
They will also help coordinate employee onboarding/offboarding, assist in communications between staff and HR, and ensure compliance with company policies. This role will also involve working closely with the Executive Assistant to the CEO & COO in supporting the wider executive team on an ad hoc basis.

The ideal candidate will have previous experience in an administrative role.

This is a 3-day-per-week role, which can be 3 full days or spread across 5 days, with at least 2 days in the office.

Primary tasks and objectives

Administrative & HR Duties:

  • Maintain employee records (digital and hard copies)
  • Update and maintain HR databases and personnel files (e.g. new hires, holiday, leavers and sick leaves, attendance)
  • Assist in global payroll preparation by providing relevant data and being point of contact
  • Managing all employee benefits - ClassPass, Pensions, Group Life Cover, Private Healthcare, and employee policies
  • Managing annual leave system
  • Manage the recruitment process by working with agents to post job ads, manage applications, arrange interviews, check references and assist with the documentation and production of contracts
  • Manage and carry out the onboarding and offboarding process for new and exiting employees
  • Support employee requests for information
  • Maintain and update the employee intranet
  • Assisting with annual appraisal process
  • Producing reports
  • Undertake other administrative tasks and duties as assigned by the VP of Operations Executive Assistance

Executive Assistance:

  • Assist with the preparation of company wide meetings and events
  • Assist the Executive Assistant with recording and updating of action items resulting from executive meetings
  • Assist with the preparing of agendas, documents, research and communications
  • Assist with collection of information required for the drafting of contracts and legal documents
  • Help coordinate monthly reporting
