Position: School Receptionist

Hours: Wednesday, Thursday, and Friday, 7:45 AM – 5:00 PM (Term Time only)

Additional Days: 4 additional working days during school holidays (e.g., GCSE Results day, A Level results day, checking school post, reviewing incoming emails and voicemails)

Key Responsibilities:

  • Greet and welcome guests professionally, courteously, and warmly.
  • Answer, screen, and forward incoming phone calls.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Direct visitors to the appropriate person and office.
  • Compile student attendance information from the School Management Information System, including absences and liaising with the Attendance Officer.
  • Handle immediate problems or emergencies in accordance with the school’s policies and procedures.
  • Assist with reception cover during school events such as evening Carol Service and Speech Day events throughout the year.
  • Provide reception cover if the other receptionist is unable to attend school due to sickness.
  • Assist with the school coach service by texting/contacting parents regarding delays due to traffic issues, etc.
  • Understand and comply with the school’s equal opportunities and other policies.
  • Maintain confidentiality at all times and observe data protection guidelines.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, brochures).
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries along with outgoing post.
  • Order front office supplies and keep an inventory of stock.
  • Order school stationery and keep within the budget.
  • Arrange travel and accommodations.
  • Keep updated records of office expenses and costs.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, collating prospectuses, and posting commendation cards.
  • Attend all Inset Days.
  • Undertake other comparable duties as required by the Line Manager and Head.

Requirements:

  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in using office equipment and basic computer applications.
  • Ability to maintain confidentiality and follow data protection guidelines.
  • Professional, courteous, and welcoming demeanour.
