Corporate Receptionist

THE COMPANY:
Our client based in The City is a Global Investment Firm who are looking to recruit a professional and polished Receptionist. Typical duties will involve meeting room management, greeting visitors, handling calls as appropriate, and other ad hoc admin requests.

The working hours will be between 8 – 4pm and 10 – 6pm.

THE ROLE:
  • To be responsible for all incoming calls to the switchboard including forwarding queries, announcing calls and taking messages via email.
  • To meet and greet all visitors including offering and providing refreshments, taking their coats and bags where needed, directing visitors to meeting rooms where appropriate and announcing their arrival. It is also essential the Receptionist aids each visitor on departure by ensuring they have all their belongings and assisting where necessary.
  • To order breakfast and lunch if required for meetings ensuring budgets are monitored and adhered to.
  • To book and track UK and International Couriers.
  • To be responsible for coordinating all meeting room bookings via email and personal requests including liaising with staff members to confirm all bookings.
  • To be responsible for ensuring meeting rooms are vacated in time and that they are cleared and tidy for use. This is a continuous duty that should be performed throughout the day to ensure all rooms remain clean and tidy.
  • To ensure reception area and the reception desk are tidy and both project a professional first impression.
  • To compile a guest list of all visitors for the next day and circulate to Security, Facilities, PA’s and any other “need to know” parties.
  • To inform all parties of any additions & alterations to the above.
  • To distribute incoming mail and organise outgoing post.
  • To monitor, maintain and replenish stocks of supplies for reception: water, tea, coffee etc., as and when necessary.
  • To ensure the daily research for the CEO is printed and sorted for collection each day.
  • To organise and book national and international travel arrangements for staff members as and when required.
  • To reconcile and complete expense claim forms for staff members as and when required.
  • To manage the conference call facilities.
THE PERSON:

The following skills and experience are considered essential for this role:

  • Possess experience within a similar reception role, preferably within a corporate environment.
  • To be IT literate in Word, Excel, Outlook and the internet
  • Posses a polite telephone manner
  • Possess an organised approach to workload and an ability to multi-task
  • Possess a polite and professional demeanour

  • Possess a flexible approach as this role will often involve dealing with ad-hoc tasks
