Murray Recruitment is seeking a Helpdesk Coordinator to join our client based in Glasgow. This is an exciting opportunity for an experienced scheduler to take on a fast-paced role within a dynamic team.

Role Overview

Reporting to the Helpdesk Manager, you will be responsible for scheduling planned preventative maintenance (PPM) and quoted works, while also assisting in the coordination of reactive repairs. This is a highly demanding role that requires exceptional multitasking, strong attention to detail, and the ability to work under pressure.

Key Responsibilities

PPM & Quoted Work Scheduling – Efficiently plan and allocate maintenance and project works.
Reactive Call Management – Respond to urgent service requests and coordinate engineers accordingly.
Rescheduling & Prioritisation – Adjust schedules in response to emergencies while maintaining service levels.
SLA & KPI Compliance – Ensure all work meets customer service level agreements (SLAs) and key performance indicators (KPIs).
Procurement Support – Assist with purchasing and ordering materials and services.
Engineer Support & Liaison – Communicate schedule changes, ensuring engineers are informed and prepared.
Client Communication & Portal Management – Regularly update clients, upload reports, and maintain accurate records.
Escalation Handling – Work closely with managers to resolve complex or urgent issues. Out-of-Hours Support – Participate in the out-of-hours service on a rotational basis (1 in every 4 weeks).

Invoicing Support – Assist with compiling invoices for review by the accounts team.

Skills & Experience Required

Proven experience in a planning or scheduling role within Facilities Management, Property Services, Building Services, or Construction.
Proficiency in Microsoft Office, particularly Word and Excel.
Strong organisational skills with the ability to manage multiple tasks effectively.
Excellent interpersonal and customer relationship skills with a proactive approach.

Ability to use initiative and work well under pressure in a fast-paced environment.
