Job overview
An exciting opportunity has arisen within our Porter Services team for a full time Porter Services Supervisor, Grade Band 4. The successful candidate with possess the following attributes.
Contribute to the provision of healthcare for the Cwm Taf Morgannwg University Health Board (CTMUHB) by delivering a porter service which meets all organisational and legislative standards and support the Facilities Unit commitment to a safety and quality services framework.
Support the Porter Manager in supervising the provision of Porter Services delivery that is managed from a Facilities Control Centre based at the hospital that provides a 24/7 point of contact service and ensuring a high quality service is delivered to patients, staff and visitors in accordance with service specifications.
Post holder will be required to perform supplementary duties to allocate a response to service needs and that are appropriate to the Facilities services and in line with their grade.
Main duties of the job
Porter services comprises of waste, transport, support to cleaning services, security, switchboard, car parking management and enforcement, stores, mail and general hospital porter duty functions.
Responsible for ensuring that Porter & Porter Security staff are allocated porter services duties in accordance with the duty rota and that they are carried out in accordance with the post assignment instructions.
Allocate by rota and dispatch porter services personnel to respond to emergency requests such as trauma bleep (site specific), fire response team (site specific), fire alarms, security incidents, adverse weather, major incidents, helicopter landings etc.Provide building security, lock down and security patrols internally and externally.
Ensure the completion and the maintenance of paperwork necessary for effective management is undertaken.
Responsible for the Facilities Control Centre, monitoring and providing a response to live CCTV, door access control and alarms and allocate the response to incidents following the correct policies, procedures and porter service staff assignment instructions.
“In the event of a major incident or to support adverse weather or other Facilities Services contingency, the post holder may be required to be called in outside normal working hours to support the Facilities Manager at any Health Board site in managing the contingency when and where required”.

To supervise, prioritise, allocate a response to a full range of operational Porter Services 24/7; e.g. the transfer of patients, movement of clinical and non clinical equipment, collection of specimens, pharmacy duties, patient meal service trolleys, hospital key management, mail services, allocate support to cleanliness services, management of a wheelchair service, medical gases, waste collection, security, car parking, transport and driving duties, (Cat B license holders with a Cat D1 driver entitlement only).Drive duties providing passenger and transportation of equipment.
Operate from a 24/7 Facilities Control Centre.

Person specification
Knowledge/Experience
Essential criteria- Knowledge and effective in the use of Word, Excel, Outlook and relevant IT software management programmes and databases, including a porter services task allocation system, designed specifically for co-ordinating requests for porter services.
- Experienced at delegation and prioritisation and able to use own initiative. Be proactive with a positive approach and fully supportive towards the management team, namely; Facilities Managers, Porter Services Waste and Transport Officers, Security and Car Parking Officers.
- Excellent communication skills, ability to prioritise workload and respond under pressured situations
- Good analytical and judgement skills
- Hold an SIA public space CCTV surveillance accreditation certificate of training or prepared to undergo relevant training to obtain a qualification.
- Experienced in customer service and relations and hold a customer services NVQ level 2 certificate of training. Responding to customer/patient needs where appropriate to ensure the smooth running of the porter services.
- Previous experience in Supervising or Managaing staff.
- Hold an SIA public space CCTV surveillance accreditation certificate of training or prepared to undergo relevant training to obtain a qualification.
