We are seeking a candidate who can maintain a calm and professional demeanour and be able to work under pressure and prioritise the workload.
Excellent communication and customer service skills are a must, and a positive approach to customer care is highly valued.
Computer literacy is essential, as you will be working with various Trust Patient Administrative Systems for data input and retrieval.

Main duties of the job
You will take on a varied range of administrative responsibilities, such as registering confidential patient data into the Patient Administration System, booking appointments in order from waiting lists, liaising with patient enquiries face to face and over the telephone, completing attendances, cancelling and rescheduling appointments as required.As a Receptionist, you will be the welcoming face for our patients.

Detailed job description and main responsibilities
To provide comprehensive administration to support Reception, Booking Teams and Contact Centre within Outpatients
To be fully conversant with the Trust appointment systems and extract data from waiting lists to book patients in date order and clinical/risk priority
Point of contact for patient, GP surgeries and other parties for enquiries, cancelling and rescheduling of appointments
Work closely with specialities escalating any capacity issues following the escalation process
Person specification
Education and Qualifications
Essential criteria- General level of education to GCSE level Standard
- NVQ Level 2 in Business Administration or Customer Service
Experience
Essential criteria- Experience of using MS Office, Outlook and Excel
- Good Customer Service skills, face to face and telephone e.g. Call Centre or Reception
- 12 months clerical experience
- Experience of data entry
- Previous administrative experience especially in a Hospital/GP environment
Knowledge
Essential criteria- Competent in using Excel, extracting data to book appointments in date/priority order
- Knowledge and understanding of GDPR, patient confidentiality and Information Governance
- NHS Outpatient administrative services, systems and processes

Essential criteria- Excellent verbal and written communication skills
- Prioritisation of workload and good organisation skills
- Analytical skills, accuracy, attention to detail and ability to use multiple systems simultaneously
- Ability to meet targets and deadlines
- Ability to operate effectively as part of a team and maintain effective working relationships with a wide range of staff
