Purchasing Assistant

We are currently recruiting for a Purchasing Assistant to join a prominent client in the manufacturing industry. This role is essential for supporting the production team to efficiently meet customer orders. The ideal candidate will have prior experience in a manufacturing setting, with a preference for those who have worked in engineering environments.
Day-to-day of the role:
- Support administrative functions within the Purchasing and Stores departments.
- Monitor and progress supplier deliveries, updating system information accordingly.
- Liaise with suppliers and subcontractors, manage stock deliveries, and resolve any related issues.
- Process supplier returns and assist with stock takes.
- Update Purchase Orders with confirmed delivery dates and manage non-conformances and defective stock items.
- Utilise the Sage system proficiently and demonstrate competence with Microsoft Excel, Word, Outlook, and some PowerPoint.
Procurement Support:
- Assist in sourcing, evaluating, and selecting suppliers, vendors, and service providers.
- Request and review quotes, negotiate pricing and delivery terms, and prepare and process purchase orders.
- Track orders to ensure timely delivery and resolve any delays with suppliers.
Inventory and Records Management:
- Maintain accurate and up-to-date procurement records, including supplier information, purchase orders, and delivery confirmations.
- Monitor inventory levels to ensure adequate stock availability and manage overstock or shortages.
- Collaborate with the warehouse team to verify receipt of goods and handle discrepancies.
Supplier Coordination:
- Communicate with suppliers to clarify specifications, negotiate terms, and address inquiries or issues.
- Build and maintain positive relationships with suppliers and service providers.
- Monitor vendor performance to ensure compliance with quality standards.
Administrative Tasks:
- Prepare reports on purchasing activities, expenses, and budgets.
- Support the Purchasing Manager with administrative duties, such as scheduling meetings and managing procurement files.
- Ensure compliance with organizational purchasing policies and procedures.
Cost Management:
- Identify opportunities for cost savings and process improvements.
- Conduct market research to find competitive pricing.
