Band 3 Administration Support Officer

An exciting opportunity has arisen for a dedicated and enthusiastic individual to provide administrative support to the Torfaen Community Resource Team (CRT) and Neighbourhood Care Network (NCN), primarily supporting the Clinical Assessment Team for Care Homes (CATCH) Team.

Torfaen CRT is a multi-disciplinary, intermediate care service, centred on providing patients with care and/or treatment within their own home across Torfaen locality.

Duties include general administrative support to CRT and CATCH staff members, coordinating daily referrals, liaising with GP's, care home staff and wider health professionals, maintenance of databases, processing incoming & outgoing emails. The successful candidate will have the ability to work well as part of a team, be flexible to the needs of the service and demonstrate a commitment to achieving high quality standards of work. Excellent communication and interpersonal skills are required as you liaise with staff members and the wider community multi-disciplinary team.

Administrative and /or secretarial experience within NHS healthcare is desirable.

Main duties of the job
  1. To provide general secretarial/administrative duties to a high standard
  2. To act as a first point of contact , dealing professionally and appropriately with telephone referrals and other enquiries for the CATCH Team and CRT Service
  3. The post holder will be required to work flexibly and independently, referring to their manager when necessary.
  4. Utilising healthcare IT systems (CWS, Medsecs, WPAS, Civica etc.) and Microsoft IT systems (Word, Excel etc.)
  5. Responsible for general admin duties including typing of letters
  6. To ensure confidentiality at all times, only releasing confidential information obtained during the course of employment to those acting in an official capacity.

Qualifications & Knowledge

Essential criteria
  • Knowledge of admin procedures, systems & activities
  • Vocational Level 3 or equivalent demonstrable knowledge & experience
  • Advanced keyboard skills - word processing, Excel & use of a wide range of computer systems
  • Trained/competent user of IT applications - Myrddin, CSW, Medsecs, Outlook, Word, PowerPoint, Excel & other databases
Desirable criteria
  • Knowledge & understanding of health records function & data protection
  • Knowledge of NHS office procedures
