Job overview- To provide an efficient and friendly service to all patients and visitors attending the outpatient department.
- To do RTT validation of patients to prevent 52-week breaches
- Advise on capacity for the booking office and reception team
- Ensuring all preparation of patient medical notes for all clinic attendances are completed.
- To record patient attendance and action patient’s outcomes.
- Where appropriate, make appointments and any associated administration, without direct supervision.
- Ensure the professional image of the department and trust is maintained at all times.
- Flexible approach to working hours to meet demands of the service.

- RTT validation
- Support the clinic prep team wherever needed
- Ensuring the preparation of patient medical notes for clinic attendances including, tracking and tracing of patient notes for all attendances are completed.
- Check all demographics and update Trakcare in accordance with Trust policy, taking responsibility for patient confidentiality at all times.
- Inform patients of any delays affecting the smooth running of clinics, direct them to correct waiting area, or to other departments if pre appointment tests are required e.g., x-ray.
- Making appropriate follow ups, sending letters, or ensure patient has been correctly added to the follow up pending list.
- Advising on capacity for the orthopaedic booking team and reception team.
- Ensure all outcomes are departed and completed correctly.
- Book support service e.g., transport, interpreter for appointments.
- Deal with telephone calls professionally and timely
- Complete all training in accordance with trust policy.
- Good working knowledge of trust cancellation/DNA policy.
- Maintain a smart, professional appearance at all times. Keep working area tidy and be familiar with the trust infection control policy.
- Any other duties as required commensurate with the grade.

Qualifications
Essential criteria- GCSE grade C or equivalent in English and Maths.
Knowledge
Essential criteria- Appropriate experience in an administration role
- Excellent Customer care skills
- Experience of the hospital system (Trak)
- Knowledge of RTT
Skills
Essential criteria- Time management
- Must be able to demonstrate ongoing personal development and willing to undertake any internal training as needed.
- Good and effective organisational skills including a high level of accuracy and attention to detail.
