Job overview

A unique and exciting fixed term secondment opportunity has arisen for an exceptional individual to be appointed as a Band 4 Member Support Administrator.

This is a part time (0.8 WTE) post available as a fixed term contract or secondment for 2 years.

his role will suit a self-motivated individual who can work under their own initiative under general oversight and direction from the line manager, and display a high level of tact, diplomacy and emotional intelligence

This role will require collaborative working with a range of stakeholders internal and external, though primarily with Research Ethics Committee Chairs and members and staff from Approval Operations.

The post-holder will be required to undertake significant levels of routine administrative procedures with a high level of attention to detail and accuracy.

Main duties of the job

The key duties as follows:

  • Receiving and managing sensitive and confidential personal information relating to applications for Research Ethics Committee membership and the payment of expenses to volunteer members.
  • Liaising with Research Ethics Committee Chairs, Health and Care Research Wales and Health Research Authority staff relating to interview panels.
  • Communicating with operations staff, volunteer members and Research Ethics Committee Chairs in relation to booking travel, venues and catering as required.
  • Liaising with finance team, members and Chairs regarding expenses
  • Keeping a strong customer service focus at all times
  • Attention to detail in the preparation and booking of meeting rooms including setting up of VC equipment on behalf of office staff, volunteer members and external stakeholders

Qualifications

Essential criteria
  • High level secondary education e.g. A Level (English / Math / ICT)
  • NVQ level 3 in administration or similar, or have equivalent demonstrable experience

Knowledge

Essential criteria
  • Understanding of the Health and Care Research Wales / HRA role and remit
  • Good knowledge of a range of administrative procedures and systems
  • Knowledge and understanding of data protection and confidentiality legislation
  • Ability to plan and organise effectively
  • Strong communication and influencing skills at all levels. Ability to communicate complex information in a diplomatic and effective manner
  • Well organised and able to manage competing priorities to tight deadlines, including ability to resolve problems
  • Self-motivating and ability to act on own initiative, ability to work independently and to deadlines whilst producing high quality and accurate information.
  • Good level of IT literacy, ability to administer Microsoft applications (Word, Excel, Outlook, PowerPoint) and support other users
  • Ability to demonstrate assertiveness, diplomacy and maintain a high degree of confidentiality at all times

Experience

Essential criteria
  • Experience in a busy office environment and preferably within the NHS or other public sector organisation.
  • Experience of forward planning, organisation and prioritising work
  • Experience of creating office systems
  • Experience of being a self-starter and working at this level with minimal supervision
