The Division of Women's and Children's covers a range of specialities including Obstetrics & Gynaecology, Maternity services, Acute Paediatrics, Community Paediatrics and Paediatric Audiology.

We are looking to recruit an enthusiastic and flexible individual to undertake the role of PA in Obstetrics & Gynaecology. The post is offered on a full time basis working 37.5 hours per week, Monday to Friday.

The PA will offer clerical and secretarial support to the Consultant Team/Specialist Nurse Team as well as other medical staff. This will be a busy and demanding role so only those with previous secretarial experience will be shortlisted – medical secretarial experience would be

advantageous.

Duties include but are not limited to:

  • Efficient secretarial support to the Consultant Team/Specialist Nurse Team, including diary management.
  • Dealing with all telephone enquiries.
  • Audio-typing from dictation, including the updating of patient’s RTT pathways.
  • Inputting/maintaining/updating data to the hospital databases/systems.
  • Communicating with the patients/the general public/Doctors/Nurses/Other professions allied to healthcare.

The successful candidate will possess RSA III or equivalent and have proven secretarial and good time management skills.

Main duties of the job

You will be expected to demonstrate provision of a high quality secretarial service, excellent time management and organisational skills, and take responsibility for your team’s performance.

You should have proven leadership qualities and be able to demonstrate integrity and the ability to manage a team and take responsibility for supporting the Trust’s local and national targets.

  • Audio-typing from dictation, including the updating of patient’s RTT pathways
  • Inputting/maintaining/updating data to the hospital databases/systems.

  • General administration duties (e.g. filing, copying)
  • Regular validation of open RTT pathways.
  • Line management of an Assistant Personal Assistant (APAs)

Applicants should be highly motivated and be able to demonstrate working on their own initiative, but also as part of a team. You will need to have a formal typing qualification, and you will need excellent communication skills. You will be able to act as a role model to others.

Detailed job description and main responsibilities

Daily tasks will include the following
  • Providing efficient secretarial support to the Consultant / Specialist Nurse team.
  • Ensuring compliance of the Referral to Treatment (RTT) targets with regular validation of patient pathways.
  • Audio typing from dictation.
  • Communicating with the patients/the general public/Doctors/Nurses/Other professions allied to healthcare.
  • Assisting the team with the booking/cancellation/alteration of clinics, ensuring full utilisation of clinic capacity
  • Diary management
  • Supervising and supporting the APAs within your team to ensure clinic turnaround targets are achieved.
  • Dealing with all telephone enquiries.
  • Inputting/maintaining/updating data to the hospital databases/systems.

Qualifications Knowledge/ Previous experience

Essential criteria
  • Good level of general education, English language and Mathematics GCSE grade C or above,or equivalent
