About us
At Wave Photonics, we are building a platform to enable and accelerate the development, mass production and adoption of integrated photonics technologies. Integrated photonics is crucial in enabling a host of applications ranging from energy-efficient communications, wearable healthcare sensors, rapid diagnostic tools, optical tensor processors, on-chip LiDAR, quantum computing and communication, and many more.We believe that many obstacles in developing these technologies can be removed using a combination of simulation, statistical modelling and optimisation techniques.
Founded in 2021, we have backing from great investors in Silicon Valley, the UK, and the EU, and are contributing to multiple projects funded by the UK's innovation agency, Innovate UK. We were also successful in winning a prestigious European Innovation Council Accelerator project to develop solutions for frontier applications of integrated photonics.
We are seeking a highly driven and enthusiastic Office and Accounts Administrator to join our team and contribute to our aim of accelerating the growth and adoption of integrated photonics technologies.
Role overview
This role provides an exciting opportunity for an organised and proactive administrator to join our team and support the operation of the business.
The ideal candidate will be capable of managing multiple workloads and be open to diverse responsibilities. The candidate will support accounting activities, general administrative tasks and grant administration.
Key responsibilities will include:
Accounting support- Take ownership of day-to-day bookkeeping for the company, including recording transactions, creating invoices, and ensuring invoices from suppliers are paid on time
- Track project expenses on the accounting software
- Assist in accounting-related requests where required
- Provide general office support and strive towards the smooth running of the office by maintaining office supplies, managing office building issues and maintenance, and other ad-hoc administrative tasks
- Maintaining records, including employee documentation and invoices
- Support the planning of office events
- Handle grant funding claim preparations
- Perform administrative tasks related to grants, e.g. provide information requests, deliver documentation to report on project progress
- Work with project leads on forecasting project costs and other tasks as required
In this role, you will be immersed in the fast-paced environment of a start-up that has ambitions to change the integrated photonics industry. We value enthusiastic people who bring a willingness to learn new things and challenge existing ideas.
Working pattern: part-time work, 24 hours a week (working 3 days a week, but there is room for flexibility), fixed term up to 12 months to cover maternity leave
Requirements
Desired skills and experience- Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Good attention to detail and organisational skills
- Good verbal and written communication skills
- Comfortable with handling numerical data
- Previous experience in a similar role may be beneficial, but is not required
- Basic accounting knowledge is desirable
- Experience/familiarity with accounting software, e.g. Xero is desirable

Benefits
Salary and compensation- Annual salary of £27k - £35k pro rata, depending on experience (£16.2k to £21k part-time)
- Annual leave 25 days pro rata (15 days part-time) + bank holidays
