Purpose of the Role

The Operations Manager is to ensure the overall smooth running of the centre, including the recruitment and training of all staff whilst maintaining a safe and pleasant environment for our customers through the monitoring of Health & Safety systems and the promotion of best practice throughout all tasks.

Key Responsibilities
  • Centre standards in all common parts and car parks are first class at all times.
  • To ensure that the Health & Safety regime at the Shopping Centre is effectively managed.
  • Direct line management of Security, Cleaning, Landscaping and Information Point teams.
  • Manage the site’s ESG programme and liaise with third party consultants.
  • Develop a close working relationship with all tenants, encouraging them to comply with the terms of their lease and to operate their business within the requirements of the Shopping Centre Tenant’s Handbook.
  • Arrange and oversee maintenance contractors, keeping up-to-date records of all work carried out.
  • Complete the re-tendering of Operational contracts.
  • Consult with the adjoining Springfields Horticultural Society to ensure high standards are always maintained in the festival gardens.
  • Assist the Retail Director with the preparation, management and reconciliation of the Service Charge and Car Park budgets.
  • Manage the Savills purchasing order system:
  • Issue purchase orders for all expenditure.
  • Collate and check all invoices and approve within agreed limits.
  • To assist the Retail Director with tenant shop fits.
  • Always ensure compliance with company operational standards, and accreditations.
  • Drive internal KPI’s in line with Savills shopping centre Management strategy.
  • Attend regional cluster meetings.
Safety & Security
  • Ensure that the day-to-day running of the centre is effective and efficient.
  • Ensure that all personnel complete duties to the highest standard.
  • Keep service yards in a clean, tidy and secure condition and control vehicular traffic in these areas.
  • Ensure all accidents and near misses are recorded and reported, attending any serious incidents that occur.
  • Ensure that fire and health and safety regulations are adhered to in all parts of the Centre.
  • Monitor and maintain Health and Safety Records in accordance with the frequency required by the site and company Health and Safety manual and policies.
  • Walk the public areas on a regular basis checking on cleanliness, maintenance, landscaping etc.
  • Ensure compliance with all statutory requirements and codes of practice, health and safety requirements.
  • Maintain overall control of the security operations, paying regards to incident response and customer care.
  • Liaise with tenants and the Police in all matters of security affecting the centre, tenants, public safety and security.
  • Ensure that all insurance risk control requirements and, where appropriate, recommendations, are undertaken.
  • Ensure that daily checks are undertaken of the common areas within the centre and that all necessary remedial works are undertaken within a reasonable time period.
  • Ensure that Health and Safety policy is always complied with.
Enquiries
  • Deal with enquiries by telephone, personal visits from tenants, contractors, the public, or whoever may have reason to make contact.

Public Relations

Establishing and developing good relations and partnerships with various authorities and local agencies, and all stakeholders notably: -
  • Local authority
  • Police
  • Fire brigade
  • Public transport providers
Promotions and Events
  • Assist the onsite Management team with all operational and H&S aspects and the implementation of the annual events programme.
Staff
  • Manage all onsite staff within Security, Cleaning, Landscaping, and Information Point teams. Including.
  • Recruitment
  • Payroll
  • Individuals Performance reviews.
  • Ensure that in-house staff are smart and always well presented.
Quality Assurance
  • Devising a training program and implement for on-site staff.
  • Adhering to all quality assurance requirements.

Skills, Knowledge and Experience

Essential
  • Operational and project management experience within the retail sector at supervisory / managerial level.
  • Experience in Management of security, cleaning, and maintenance staff.
  • Experience in setting up and administration of detailed record keeping systems.
  • Knowledge and/ or experience managing services to an agreed budget.
  • Able to work on own initiative and meet tight deadlines.
  • Excellent communication skills at all levels.
  • Willingness to adopt a flexible approach to working patterns to respond to the changing needs of a retail environment.
  • Health & Safety accreditation – IOSH qualification a minimum, preferably NEBOSH.
Desirable
  • Experience / good knowledge of horticultural and leisure attractions.
  • Ability to use the full range of Microsoft applications inc. Word, Excel, PowerPoint and Outlook.
Working Hours
  • 5 days / 40 hours, per week: Monday
  • Friday 9am
  • 6pm. (Weekend Duty Management role on rolling cycle)
