Job overview

To provide comprehensive high quality administrative support to the Undergraduate Medicine Placements team, the Learning Workforce and Learning Quality work streams, as well as the director of Medical Education and the Learning and Development Business manager.

This role will also include occasional reception cover for the Education centre as needed.

Main duties of the job

  • General administration duties including but not limited to photocopying, scanning, book meetings & seminar rooms, set-up AV equipment, send out all relevant information to students, course participants and clinical teachers.
  • Proficiently use the Trusts computer systems for example order processing and recruitment, effectively tracking progress to ensure timely completion.
  • Keep up to date with Trust policies and procedures and any external legislation or guidance that directly impacts the role for example public health information, education quality standards, and health and safety regulations.
  • To offer a comprehensive reception service to users of the Education Centre, portraying a professional and friendly front of house service when providing cover support.
  • Answering queries face to face, over the telephone and by email in a prompt and efficient manner.
  • To assist the Learning & Development Business Manager to ensure the Education Centre provides a safe and efficient place to deliver and receive teaching.

Person specification

Qualifications and Training

Essential criteria
  • • GCSE English language and Maths (or equivalent)
  • • Evidence of training or skills with ‘universal’ IT tools such as Microsoft Word, spreadsheets and / or databases, email software etc.
Desirable criteria
  • • Any other qualification certifying competence in business administration or business management for example NVQ Level 3 in Business Administration.
  • • Any other qualification certifying competence in role-relevant skills such as team working, challenging communication etc.

Experience

Essential criteria
  • • Administrative work for any organisation that includes collaboration with partners and supporting a manager or leader.
Desirable criteria
  • • Previous work within the NHS (any NHS organisation).
  • • Working as part of a multidisciplinary team including clinicians.
  • • Experience of using a room booking system.
  • • Experience in using audio-visual equipment.
  • • Experience of utilising a range of digital technologies.

Skills and Knowledge

Essential criteria
  • • Communication skills, for example dealing with conflict situations, or with learners or patients in distress.
  • • Able to work on own initiative and unsupervised.
