Allstaff Office Division are delighted to bring to the market the role of Administration Officer for a public sector organisation working closely with other public sector bodies based Glasgow city centre.

JOB ROLE:-

Reception Duties & General Support
Undertaking any additional responsibilities as requested by any members of staff, if and when required.

Finance Duties including creating purchase orders and processing all payments to suppliers; Liaising with the Senior Administration Officer when any issues arise in relation to payments or finance system operations; Maintaining the finance system database and updating suppliers where necessary; Keeping inventory of stationery and stock levels and ordering new supplies when required; Providing cover for the Senior Administration Officer when required.

Responsible for the receipt and data capture of all new applications onto the case management system; including acknowledgement and issuing requests for papers.
Creating new case files and document inventories for papers received from Justiciary Office, Sheriff or District Court.
Creating and circulating electronic agendas for both Committee and Board meetings, processing decision letters.
General case administration including: maintenance of Board attendance and conflicts information; processing referred case updates from the High Court; issuing application packs

Providing cover for other administration staff case related duties when required.

Mail, Photocopying & Filing ·

Other general housekeeping duties.

Experience Required:

Good all round administration experience, it is a bonus to have experience working with a government body but not essential
Candidates should be highly confidential, with a good level of maturity.
Analytical skills required.
Role covers admin, HR, finance, and some payroll duties so experience in these areas is an advantage.

Succesful candidates will go through an enhanced disclosure check.

Hours of work: 35 hours, 9 am to 5 pm (plus lunch breaks) & possibility of flexible working. Salary scale is £25235 - £28131 depending on experience.

Annual leave entitlement of 25 days, rising to 30 days after 5 years continuous service, plus 11½ public and privilege holidays.
