Job Title: Club Administrator and Assistant Secretary
Accountable to: Operations Director
Hours of Work: Monday to Friday 11am-5pm, Tuesday evening and Saturday afternoon matchdays only. Total Hours 37.5

Personal Profile: To ensure that the administration of Weston-super-Mare AFC is completed to a high standard and on a timely basis.

Ensure that services provided meet organisational standards and uphold the core values of Weston-super-Mare AFC.

Main Responsibilities Overview:

  • Open facilities and locked when required.
  • Ensure lights and heating are off when not required.
  • Respond to all emails and phone calls or forward to relevant person.
  • Normal Bar Duties.
  • Ensure Club Cleaning Procedures followed.
  • Receive all deliveries and store suitably.
  • Promote/market facilities to increase revenue.
  • Booking of Somerset Suite Function Room / Board Room on to Outlook Calendar.
  • Booking of 3G / Langford Pitch / 9v9 Pitch on to Outlook Calendar.
  • Update OTIS system of 3G usage.
  • Price reviews with Managing Director.
  • Support Commercial Director with all commercial activity.
  • Complete all sponsorship admin on completion of agreements, artwork, contract, media
  • Letter writing when required.
  • Mini bus usage log and keys
  • Ad hoc signage as and when required.
  • Fire Drill Rota.
  • Cook basic food menu when required.
  • Administer Family Match Day Pass requests for charity/raffle prizes.
  • Season Ticket Processing / Renewal Letters.
  • Match Day Posters – Printing and distribution.
  • Sponsors Meals – gain menu choices, notify Chef & Ann Sheppard.
  • Club and Sponsor Signage – liaise with Sponsors / Marketing team on design of relevant artwork.
  • Club and Sponsor Signage – liaise with Club Signage Maker for production and installation.
  • Welcome Signs for First Team / U19 / U18 Oppositions and Officials.
  • Sponsors / Away Directors Welcome and Passes (include menus for sponsors on reverse of table welcome)
  • Ground Grading – ensure club maintains relevant ground grading
  • Manage the square system with price changes and correct devices for all events.
  • Website admin to cover all areas with the support of the Director of Operations, this includes fun weeks, individual coach training, match tickets, away supporter bus and sponsorship/commercial.
Assistant Secretary duties
  • Club Licence – Ensure Club Licence is relevantly applied for and gained.
  • Club Accreditation – Ensure Club Accreditation is relevantly applied for and gained.
  • Club Affiliation - Ensure Club Affiliation is relevantly applied for and gained.
  • Scouting – obtain agreement from our football management team / scout to attend matches.
  • Media – obtain agreement from the operations director / media to attend matches
  • Opponents Board Room Guests / Opponents Team & Staff / Match Officials food requirements – notify Ann Sheppard.
  • Ladies & Junior Secretaries – provide assistance when required.
  • WGS – liaise with Ladies & Junior Secretaries to ensure prompt payment of invoices.
Match Day Ops duties
  • In the lead up to a fixture arrange for relevant number of turnstile operatives to be available, based on Club Secretary notice.
  • Arrival for 11:30am on Saturday.
  • Be provided with a radio to be able to communicate with entire team on channel 15.
  • Ensure all Car Park Barriers and Cones are placed out, Tuesdays Only (Bar Staff put Saturday)
  • Distribute all relevant paperwork for Stewarding & Turnstile Team

o Car Park Guest List
o Academy Player Entrance List
o Academy Coaches Entrance List
o Women’s Team Entrance List
o Walking Football Entrance List
o Turnstile Gate Sheet
  • Collect all relevant ‘floats’ for Stewarding & Turnstile Team from Bar Staff
  • Ensure all relevant equipment is available for Stewarding & Turnstile Team, including programmes.
  • Check Turnstile equipment prices are correct.
  • Lead Stewarding & Turnstile Team pre-match brief at 12:15.
  • Ensure Stewarding & Turnstile Team are in position promptly.
o If a turnstile attendant is unable to arrive on time, cover that ‘turnstile’.
  • Ensure Defibrillator is taken from stored location to be placed by Match Announcer during match.
  • Provide Turnstile Team with any assistance they may require throughout match.
  • Provide stewarding team with any assistance they may require throughout the match.
  • Ensure Ball Persons arrive on time and are in position when required.
  • Provide Turnstile Team with any technical assistance as and when required.
  • Team Sheets:
o Distribute Club Supporter Team Sheet when provided by Matchday/Club Secretary
  • 1x A3 version for display in cabinet.
  • Relevant number on A4 for Board Room (Home/Away/Sponsors).
  • Relevant number on A4 for Home / Away Media Teams.
  • 60 x A4 for Turnstiles.
  • Ensure re-distribution of Match Day Programmes between turnstiles when required.
  • Maintain communication with Turnstile Attendants for all matters relating to supporter entry.
  • Maintain communication with Ball Persons to ensure they are collecting balls and returning to technical area promptly and correctly.
  • At half-time carry out cashing up of gate sheet
  • Distribution of wages from gate sheet
  • Ensure all Car Park Barriers and Cones are put away.
  • By end of game ensure fixture board outside front of stadium is updated with next match details.
  • Ensure Defibrillator is placed back in stored location from area by Match Announcer after match.
  • Ensure ALL steward radios and turnstile equipment is placed back in locked storage cupboard and placed on charge at end of game.
  • Provide turnstile attendants after-match de-briefing when required.
Job Type: Full-time
Pay: £25,000.00 per year
