The Bowel Screening clerical assistant is required to provide comprehensive, efficient and effective administrative and clerical support to the Bowel Cancer Screening Programme. The post holder will deal with the daily processes in ensuring patient pathways are correctly managed within the BCSP and Trust guidelines, and to act as a first point of contact for the Programme Hub and end users.

Reporting to the Bowel Cancer Screening Programme Manager via the Lead Administrator, the post holder will assist in the provision of an efficient, effective and comprehensive reception, administrative and clerical service for the Tees Bowel Cancer Screening Service.

Using appropriate technologies and equipment, and taking direction from the Programme Manager and Lead Administrator where appropriate, the post holder will produce work outputs to a high standard of quality that meets the organisations requirements for Information Governance, RMS and CQC, and is in line with all policies, procedures and guidelines relating to the Trust and the Screening Programme.

The post holder will to assist in the provision of a high quality, patient centred service by communicating and working effectively with all colleagues within the Bowel Cancer Screening service, as well as other departments and external service users, e.g. liaising with the regional hub, screening participants, GP’s and hospitals, maintaining confidentiality at all times.

Develop and maintain effective channels of communication within the administrative and wider screening team, engaging staff at all levels of the organisation in participant care. Actively manage barriers to communication across levels of responsibility to contribute towards a positive outcome for screening participants.

Produce accurate and complete records of communication consistent with internal policies and National programme guidance. Post holder must demonstrate the English language proficiency.

Arrange colonscopy appointments, escalating any capacity issues and inputting patient and procedure details onto Trakcare and Medilogik systems.

Assist in the organisation of the referral of patients to other departments/hospitals for investigations or further treatment were appropriate.

Ensure systems and processes are in place to enable national targets to be met as part of the national BCSP standards, following local and national guidelines.

Conduct potentially sensitive telephone calls to patients in order to arrange Post Investigative Appointments (PIA), as requested by the Specialist Screening Practitioner team (SSP).

Ensure accurate data collection, collation and in-putting, and preparation of basic data reports.

Responsible for delivery and collection of prescriptions from Pharmacy.

Process confidential or sensitive patient documentation, responding to requests to compose, type and print correspondence as necessary. Collate and input patient information onto the Open Exeter system (BCSS).

Assist in monitoring Capacity and Demand within the Bowel Cancer Screening Programme, highlighting shortages where appropriate and arrange for rooms/lists to be handed back to the symptomatic service when required.

Be responsible for the preparation of case notes and assessment packs for clinic sessions, using all appropriate technologies, procedures and guidelines, ensuring an accurate, timely and high quality service to all users. Responsible for the locating, tracking, collecting and returning of case notes, using appropriate technologies and procedures and guidelines.

Assist in carrying out a monthly case note audit.

Act as the first point of contact for the Programme hub, patients and the team members, using initiative to resolve queries in a professional manner. Ensure all incoming calls are redirected appropriately and are responded to in timely manner.

Monitor and prepare data sets for positive assessment appointments.

Arrange interpreters as required and ensuring screening staff receive up to date clinic lists.

Maintain BCSP surveillance waiting lists, ensuring referral pathways are adhered to. Action surveillance alerts on BCSS system, generating health check forms. Escalate Trakcare alerts to the screening team

Participate in the reviewing and updating of departmental work instructions, as required by BCSP Management.

Assist the BCSP Lead Administrator and Programme Manager in the training of new staff members.

Work independently and flexibly to ensure that all work tasks are carried out to a high standard of quality that meets all departmental and organisational requirements for information governance, data protection and ensure compliance with processes to facilitate achievement of QA Standards.
