This is an exciting opportunity to become a vital part of the Integrated Community Stroke Service, where your skills and attention to detail will directly contribute to improving patient care and recovery.

As an administrator in our close, supportive team, you’ll play a key role in keeping our service running smoothly. From managing referrals and handling patient queries to coordinating equipment orders and stock control which enables our clinicians to focus on delivering patient centred rehabilitation.

You’ll be at the heart of a service that’s always evolving and your input will help us improve efficiency and quality for our patients. We value our admin team not just for what they do, but for how they think and contribute.

We’re looking for a team player who’s confident using IT systems, ideally EMIS and Microsoft Office, or willing to learn. If you’re an excellent communicator with a positive attitude and a desire to make a difference, we’d love to hear from you.

  • Must be willing to travel as this post is based at 2 Bristol locations, one at South Bristol Community Hospital and Charlotte Keel Medical Practice, both with free parking.

Main duties of the job

Key Responsibilities:

  • Work as an effective team member to undertake the day-to-day administration duties of the ICSS Service;
  • Work independently using initiative to prioritise workload for self and other members of the team:
  • Work flexibly to meet the demands of the service, covering holiday and sickness to ensure a smooth administrative service:
  • Process referrals onto the EMIS system and all associated tasks within service operational protocols including escalating problems or seeking clarification;
  • Answer telephone queries, taking accurate messages and dealing with them appropriately and in a timely manner;
  • Be responsible for discharging patients in accordance with local policy;
  • Order stationery, uniform and clinical supplies;
  • Ensure own and team mailboxes are regularly checked and dealt within an appropriate time;
  • Provide administrative support e.g. typing, printing, scanning, minute taking, producing letters, dealing with post, disposal of sensitive material as required;
  • Act in a professional, respectful and helpful manner at all times in line with Sirona values;
  • Respond to patient enquiries with appropriate advice and empathy;
  • Provide support to the senior administrators within the ICSS team;
  • Prioritise tasks effectively and complete work within specified deadlines, with flexibility and the ability to adapt when needed;
  • Receive regular management supervision and participate in performance review;
  • Willing to travel to BNSSG Stroke bases;

Experience and Skills

Essential criteria
  • Excellent communication, interpersonal and teamwork skills
  • Significant relevant experience in Administration and office working
  • Able to work well in a team environment but also act on own initiative
  • Organisational and time management skills
  • Experienced IT skills including email, word processing and spreadsheets
  • Can demonstrate flexibility and prioritisation skills
  • Has worked in a customer facing/patient contact role
Desirable criteria
  • Experience of healthcare settings
  • Knowledge of electronic patient booking systems such as EMIS
  • Previous experience of training staff

Qualifications

Essential criteria
  • GCSE or equivalent including passes at Maths and English
Desirable criteria
  • NVQ Level 3 in Information Technology or Equivalent experience
