Hours: 37.5 per week, all MKUH roles will be considered for flexible working

Milton Keynes University Hospital is looking for a flexible and enthusiastic person to join our team as a Ward Clerk in Neonatal Unit. You will need to be able to work flexibly and apply a methodical approach to a varying workload in what can be a fast-paced, pressurised environment.

You should be self-motivated, have excellent communication/interpersonal skills and have the ability to work on your own as well as part of a busy team.

The neonatal unit is a 16 bedded Local neonatal unit providing care to babies born premature or needing some help following birth.

To be an integral part of the Neonatal Unit team, providing efficient secretarial and clerical support.

The post-holder will provide an efficient, confidential and professional secretarial service to the Neonatal clinical teams. This will include administration and secretarial support to enable provision of patient care.

Good communication with parents, relatives, general practitioners and other hospital staff is essential to ensure a proficient, high quality service for patients and clinicians.

To monitor and manage the neonatal EPR system on the Neonatal unit, acting in a professional and courteous manner at all times. Respond to requests for information promptly and efficiently using a variety of communication methods, ensuring that information governance standards are adhered to.

Ensure information is accurate and meets Trust Standards regarding delivering information.

Team working and collaboration are vital.

Main duties and responsibilities

To work as a member of the team but be able to work without direct supervision.

To undertake all clerical aspects relating to admission, discharge or transfer of all patients.

To ensure the data on the computer system is up to date (e.g. badger, eCare and outcome data).

To maintain good communication links with all members of the multi-disciplinary team.

To deal with telephone calls and visitors to the unit in a welcoming and friendly manner.

Arrange outpatient’s appointments as required.

Carry out procedures via the Trusts computer system and Clevermed, Badgernet system for the admission, transfer and discharge of patients.

Undertake computer-training courses as required and ensure up to date bed states daily.

Be involved in the training of new staff (with the support if the IT department) in use of the Trusts computer systems.

Order and maintain adequate supplies of equipment, printing and stationery.

Complete request for repairs, maintenance etc, as requested. Ensuring a good audit trail and follow up as required until completed.

Opening departmental post and distributing as appropriate

Adding patients on to the Outpatient Waiting List following admission

Dealing with internal and external telephone enquiries.

Liaison with patients, staff and other agencies as directed by the Ward Manager

Shift Coordinator.

Other clerical duties as directed by the Ward Manager.

Make arrangements for transfer of patients to and from other wards and hospitals as directed by the nursing or medical staff and ensure that all necessary documentation is completed.

Arrange documentation for the discharge of patients

Carry out manual backup procedures in the event of a computer malfunction.

Deal with telephone calls as required.

Maintain liaison with staff of other grades and disciplines as required.

Provide cover as directed in the event of another ward clerk being absent for any reason.

Establish and maintain an open, sensitive communicative manner and give friendly, helpful and respectful attention to everyone.

Observe complete confidentiality of all patient information.

Maintain ward security as per operational policy.
