Job overview
We are currently looking for an Appointments Coordinator/Receptionist/Support Typist to work in the Orthodontic Department.
Ideally we would require someone who has typing skills and experience in direct face to face contact with patients/clients for appointment scheduling purposes. The role will involve working on a job share rota basis within the department, predominantly on Tuesdays and Fridays.
This is an interesting and varied post providing interaction with patients to schedule appointments, comprehensive clinic preparation and typing support to the Orthodontic Consultants, Associate Specialists, Registrars and Junior Doctors.
Reporting to the Team Leader and working closely with the Medical Secretaries in order to ensure the delivery of the service within NHS targets.
The role will include receiving confidential and sensitive information, written, aural or verbal, to be exchanged with patients, relatives, staff orexternal parties.
Main duties of the job
The role will involve covering the orthodontic reception desk, appointment scheduling and general administrative tasks; including typing of clinic letters and daily preparation of clinic notes. Ideally we would require someone with medical experience in a hospital or clinical environment who is able to work both within a busy team and on their own initiative when required.They must be able to prioritise their own workload, possess excellent audio typing skills, excellent communication skills, combined with a professional telephone manner, have a flexible and pro-active and positive attitude and remain calm under pressure.
Experience of audio typing and word processing is essential.

Detailed job description and main responsibilities
To provide full secretarial and administrative support to the Orthodontic Department.
Preparing patients notes ready for clinical appointments.
Booking appointments for patients face to face at the desk.
Booking new patient consultation appointments within the required timescale.
Rescheduling cancellations and DNAs.
Managing capacity within the clinics and moving patient appointments if required.
Ensuring all correspondence relating to patients are saved on to the Electronic Document Management systems (Evolve).
Accurate audio typing using digital dictation and word processing systems
Provide and receive confidential and sensitive information written, aural or verbal, to be exchanged with patients/clients, relatives, staff or externalparties.
Review and manage the patient pathway to ensure all RTT targets are met, escalating concerns when they arise.
Ensure telephone enquiries are dealt with in a confidential, professional, tactful, sympathetic and timely manner.

Education and Experience
Essential criteria- NVQ Level 3 or able to demonstrate knowledge within this field through practical experience
