Main duties of the job

The post holder will be required to provide a comprehensive administrative service within the team, including word processing, organise clinics and associated appointments, maintain filing in both paper and electronic records and inputting and updating service user information.

As part of this role and if you meet the eligibility criteria there will be the opportunity to complete a Level 2, 3 or 4 Apprenticeship qualification. As part of the apprenticeship you will achieve a national recognised qualification and gain experience in administration in a health care setting.

An apprenticeship is a framework of qualifications made up of an NVQ, Technical Certificate and Functional Skills in Mathematics and English. Undertaking an apprenticeship qualification is a great way to progress onto the next step on your career pathway.

Detailed job description and main responsibilities

  • Organise associated appointments for clinics, using appropriate brought forward systems to manage work.
  • Provide operational peer support to colleagues, and supervision of Band 2 administration staff within the team, if required, as directed by Line Manager.
  • Deal with staff and service user requests as and when required, and in accordance with Trust procedures.
  • First point of contact.
  • Managing team mailboxes and phone lines.
  • Processing team referrals.
  • Assessment booking.

Person specification

Education & Qualifications

Essential criteria
  • Educated to GCE/GCSE standard.
  • Good command of written English
  • RSA Stage II/NVQ Level 2 in Administration or equivalent.
Desirable criteria
  • NVQ Level 2 in Administration or equivalent.

Experience

Essential criteria
  • Experience of working in a busy and demanding office/customer facing environment.
  • Experience of planning and organising own workload and of staff within own span of control.
Desirable criteria
  • Previous experience of working in a NHS Office environment.
  • Experience in using computer programmes including health care IT systems

Skills & Abilities

Essential criteria
  • Excellent customer care / telephone skills
  • Good IT skills (MS Office).
  • Ability to adopt an appropriate style and method of communication and deal effectively with people.
  • Ability to work as part of a team
  • Ability to work on own initiative
  • Good organisational skills
Desirable criteria
  • Knowledge of Data Protection Act.

Knowledge & Understanding

Essential criteria
  • Clear understanding of confidentiality and the importance of maintaining confidentiality for patients.

  • Ability to travel to other Trust sites, if required
