Context:

As part of the engineering division, you will play a key role in contributing to the expansion of the engineering business in the UK by leading and managing prequalification’s and tenders from initial notification to successful delivery to the project director.

You will have experience in building relationships with clients, consultants, and contractors, and translating their challenges into successful opportunities for business development. You will take ownership and responsibility for driving the day-to-day interaction with clients, stakeholders in the UK to deliver the bid/tender documentation on time, to deliver an economically advantageous tender, and to a standard resulting in successful contract award.

The opportunities falling under the Senior Bid Managers role will be defined by the Strategic Sales Director, as defined in the five-year plan, and can evolve from one year to another.

You will actively support the Product Line Directors with the management of business development for the UK engineering/rail market. You will support the Product Line Directors with the control and monitoring of the bid pricing and approval process (including corporate governance), and with the production of bid programmes, bid costs, and the proactive monitoring of these programmes and costs.

Missions/Main Duties:

  • Develop the opportunities against which to submit proposals, judging pricing, manpower, area of activity, etc. to ensure that Systra Limited's business remains focused, of high quality and profitable and achieves the desired market positioning.
  • Consider commercial and proposal activities in the engineering business to maximise profit and enhance Systra Ltd.’s reputation with key clients.
  • Engage with clients on each opportunity to ensure thorough understanding of their current and future needs.
  • Review preliminary bid documents to recommend go/no go decisions in line with our business strategy to maximise the probability of success.
  • Be familiar with the design and technical capabilities, and operational processes and procedures and team leaders within SYSTRA group
  • Lead the bidding process for identified engineering opportunities and bids ensuring all contractual and technical conditions are understood.
  • Engage with the broader UK and Northern Europe organisation to develop close working relationships and leverage joint technical capability.
  • Form and manage bid teams to develop winning proposals in line with the approved bid programme and budget
  • Interpret engineering requirements from clients and lead Systra Ltd.’s response, which includes the co-ordination of resources from other international Systra offices, such as in France, Poland, and India.
  • Create and maintain a register of new opportunities and look for ways to build on current business successes – provide KPI’s and reports as needed.
  • Write key elements of the bid responses with assistance from colleagues as needed and ensuring commercial requirements and risks are considered and mitigated.
  • Produce financial models and SYSTRA Business Income Statement in line with finance department requirements
  • Engage with legal team to ensure all contractual, legal and insurance issues are considered
  • Ensure all relevant internal approvals are obtained in accordance with SYSTRA Ltd NOG, and that bids/tenders are submitted on time.
  • Accurate and timely business performance reporting monthly.
  • Champion continuous improvement through lessons learnt for future bids/proposals and by engaging with SYSTRA Group’s ‘Bid Excellence’ team.
  • Regarding the UK engineering/rail market: Responsible for the Health and Safety requirements of bids as required by Link Up approval, UK, and international law.
General
  • Where required, negotiate with Systra department managers for the allocation of technical and engineering personnel from within the Company.
  • Manage commercial aspects of the bid process, including budgets, updating of Systra’s financial systems, and assisting the finance and commercial teams with project invoicing.
  • Develop and deliver progress reports and presentations to internal stakeholders.
  • Co-ordinate with the HR department and support Health, Safety and Welfare initiatives, project and Company-wide.
  • Promote and sustain a constructive, supportive, and collaborative working relationship with clients, external and internal, immediate, and senior management, and other work colleagues.
  • Responsibilities may include being involved with interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance and resolving problems.

Profile/Skills:

  • Proven track record of successful bid/proposal delivery with a sound understanding of commercial and contract terms.
  • Experienced in contract negotiations in the engineering/rail/consultancy sectors.
  • Ability to understand client needs and translate these into concrete technical solutions.
  • Excellent communication skills and collaboration skills are essential for the role
  • Ability to work as a member of cross-cultural teams in different time zones
  • Ability to make decisions in a time-pressurised situations
  • Professional approach with the ability to motivate others
  • Good engineering and technical knowledge and the willingness and ability to learn quickly
