Context:

To manage a portfolio of projects on behalf of SYSTRA Consultancy and hold overall responsibility for the successful and safe delivery of projects to agreed time, budget, and quality.

Missions/Main Duties:

  • Provide a professional, first class, consistent and effective project management service to Clients.
  • Represent a specific sector within the PMO, acting as the sector lead and offering PMO project support to in-sector project managers.
  • Act as the deputy lead for the project management team, supporting the PMO lead in managing team operations and strategic initiatives.
  • To actively liaise and engage with project team members to provide appropriate support to projects and bids.
  • Undertake a contract review prior to project start up.
  • Arrange client start up meeting and act as principal client contact.
  • Lead a planned and effective internal project kick off meeting.
  • Lead and direct a multi-disciplinary project team providing necessary support as required.
  • Manage the day-to-day project activities, resources and chair project meetings.
  • Responsible for delivering the projects safely to agreed time, cost and quality and in accordance with the Project Governance Process and Integrated Management System (IMS) and all other relevant systems and processes. This includes management of issues, risks and project change requests.
  • Ensure that projects comply fully with all statutory and regulatory provisions including all health, safety, environment and CDM Regulations.
  • Ensure that Project Execution Plans are prepared and adhered to throughout the project life cycle.
  • Proactive approach to problem-solving demonstrating teamwork, innovation and excellence.
  • Proactively review, identify and resolve any problems in project delivery, including anticipated problems as well as over-spend and late delivery.
  • Provide leadership for the project team by building and motivating team members to meet project goals, adhering to their responsibilities and project milestones.
  • Carry out regular project performance assessments in line with Project Governance and periodic review requirements.
  • Ensure project costs are regularly reviewed and invoices are raised on a regular basis.
  • Ensure project change control procedures are adhered, established and change control is proactively managed.
  • Work closely with the project team in order to ensure client requirements are properly interpreted and reflected in the deliverables.
  • Resolve conflicts over resource allocation.
  • Ensure regular effective communication with Client and project team.
  • Attend Client meetings as and where required in accordance with project requirements.
  • Manage internal project review meetings and complete requirements for Project Reviews.
  • Provide project reports as required in line with Project Governance, Client and Business requirements.
  • Ensure projects, and bids are performed in compliance with all required process and procedures, from conception through to completion including project close out duties.
  • Apply procedures and systems to ensure the safety of staff, and others affected by any operations of Systra Consultancy.
  • To secure repeat business through proactive client management.
  • To secure work by leading, managing and co-ordinating bids when acting as Bid Manager, in accordance with Project Governance and IMS Procedures.
  • Assist in any negotiations, disputes, arbitration (if and where required).
  • Provide mentorship, motivation and coaching to junior team members in function and within projects.
  • Full project life cycle ownership.
  • Any other duties as required

Profile/Skills:

  • Significant relevant industry related project management experience and proven success in the management of multi-disciplinary projects.
  • Relevant experience managing multiple, major and /or complex high-risk project(s).
  • Membership of The Association for Project Management and/or membership of a relevant professional institution and/or relevant demonstrable experience.
  • Ability to address and successfully navigate project politics
  • Understands the interfaces of multiple related projects to ensure the overall programme is aligned and supports the achievement of strategic objectives.
  • Strong commercial and financial acumen.
  • Sound management techniques with the ability to apply these through all project phases.
  • Solid communication skills within and across disciplines to drive project team delivery within the company.
  • A team player capable of leading and driving team members to achieve project goal(s).
  • Ability to multi-task, prioritise and work well under pressure.
  • Thorough understanding of risks, liability and exposure and appropriate measures of mitigation and control.
  • Environmental and sustainability knowledge.
  • Ability to demonstrate a drive for results in line with business needs.
  • Ability to collaborate in order to achieve a common objective, for projects and / or business objectives.
  • Proficient use of software programs, including Microsoft Office, Sharepoint etc.
  • Excellent client-facing and internal communication skills.
  • Interpersonal skills to influence and engage change, promote delivery and enhance performance within the project team(s).
  • Ability to resolve project issues and ensure the timely escalation and identification of risks and priorities.
  • Capable of recognising and actively developing opportunities and provides value for money.
  • A thorough working knowledge of the project management control tools and process with the ability to track, monitor and assess project performance.
  • Takes responsibility for promoting self-development, maintaining CPD and undertaking any identified training and learning to maintain current proficiency and keep abreast of emerging technologies, methods and best practice.
  • Capable of motivating the project team and providing support to colleagues.
  • Able to learn, understand and apply new technologies and processes, as required.
  • Flexibility to adopt changing priorities, demands and timelines through analytical and problem solving capabilities.
