Job overview
To assist the trust in delivering its agenda, by supporting specifically the immunisation team in delivering a safe and efficient immunisation programme to the school aged children of Calderdale. Supporting the wider community division to deliver a high quality service in their areas of responsibility by providing an efficient and effective administration secretarial service.
Main duties of the job
Main task- Liaising with schools within the calderdale locality and coordinating the delivery of the immunisation programme to meet strict timescales under the direction of the team leader
- To become the main link with schools
- Attend immunisation session in schools, meet and great students , facilitate the smooth running of the session
- Provide a caring and compassionate approach to children in line with the Trusts culture
- Stock ordering including vaccinations and safe storage of vaccines
- Stock take and document this according to the Trust requirements in a timely manor
- To use a variety of soft packages such as Microsoft word, outlook, excel
- Typing letters/reports using system one and other software packages
- Diary management
- Message taking
- Photocopying /scanning
- Arrange meetings and taking notes
- Co ordinating diaries and organise meetings within the agreed timescales
- Filing and archiving

We employ more than 6,500 staff who deliver compassionate care from our two main hospitals, Calderdale Royal Hospital and Huddersfield Royal Infirmary as well as in community sites, health centres and in patients’ homes. We also are incredibly proud to have almost 150 volunteers here at CHFT.
We provide a range of services including urgent and emergency care; medical; surgical; maternity; gynaecology; critical care; children’s and young people’s services; end of life care and outpatient and diagnostic imaging services.
We provide community health services, including sexual health services in Calderdale from Calderdale Royal and local health centres. These include Todmorden Health Centre and Broad Street Plaza.

Detailed job description and main responsibilities- Organise and plan with schools appropriate dates for the delivery of the immunisation programme within the agreed timescales
- Coordinate appointments for immunisations to be administrated outside of a school setting , setting up clinic rooms, and assisting running of clinics
- Use current process the check that consent or non consent is given to maintain safety and duplication of vaccinations and reduce errors
- Set up, maintain and store spreadsheets, ensuring that information is kept up to date for statistics.
- Produce documents , letter and reports / Inputting relevant data onto databases in line with timescales
- To send letters using templates within the immunisation team
- Data collection and input of activity on system one
- Effective communication, reflecting audience
- Organise meetings as and when required
- Take messages and ensure that they are communicated to the relevant Person
- Deal compassionately with parents and carers regarding any concerns they have ensuring that a record of the conversation is documented
- Ensure that display boards are up to date
- Assist the team in the acquisition of quotes for stationary and related items as required
- Follow the Trust safeguarding policy and attend mandatory training

QUALIFICATIONS / TRAINING
Essential criteria- Educated to GCSE Maths & English or equivalent
- Minimum of RSA II typing / Word processing skills or equivalent
- Motivation to develop the role and themselves within the role
KNOWLEDGE, EXPERIENCE & EXPERTISE
Essential criteria- Excellent computer skills with knowledge of office-based packages
- Experience of Data Inputting
- Good keyboard skills
- Ability to work without Supervision
